Position : Executive Personal Assistant
Job Description : Shearer Companies, a partner of SEKO Logistics, is seeking an Executive Personal Assistant at our State College office. The Executive Assistant coordinates and provides high-quality administrative support to the owners. This position will be responsible for ensuring a smooth-running schedule, managing calendars, coordinating travel, plan and execute meetings. It requires exceptional communication and organizational skills.
Essential Duties and Responsibilities:
Manage information flow in a timely and accurate manner.
Responsible for making travel and accommodation arrangements.
Manage calendars and scheduling for owners, including agendas, mail, email, calls, client management and other company logistics.
Responsible for completing and following up on schedules and to-do lists.
Format information for internal and external communication – memos, emails, presentations, reports.
Serve as escalation contact for clients, vendors, employees and other external partners ensuring that all involved parties are aware and taking action as necessary.
Organize team communications and plan events, both internally and externally.
Responsible for scheduling, planning assistance and coordination of personal group involvement (these could include political and religious groups).
Performs other tasks/projects as requested by management.
Qualifications:
Ability to acquire TSA certification (required).
Strong organizational skills and attention to detail.
Ability to multitask and work under pressure.
Ability to prioritize tasks and adhere to deadlines.
Strong time-management skills and the ability to organize and coordinate multiple projects at once.
Self-starter – must be able to move onto the next task / issue on their own.
Ability to maintain strict confidentiality in all aspects of executive, personal, team and Company information.
Experience overseeing budgets and expenses is helpful.
Proficient in all Microsoft applications, including Word, Excel and Outlook.
Education and/or Experience:
High School Diploma or GED; Administrative Assistant or related Certification preferred.
Entrepreneurial background is a plus.
A minimum of three (3) years of administrative / executive assistant experience.
An equivalent combination of education and experience.
Language Skills:
Strong command of the English language, both orally and in writing.
Must be able to communicate clearly and concisely with contractors/vendors, clients, employees and Management via both telephone and email.
Travel Requirements:
Regular travel as needed between local sites.
Job Type: Full-time
Pay: $26.00 – $31.25 per hour
