Job Description : Cameo Consulting Group, LLC, a federal contractor based out of Alexandria, VA, is seeking an experienced Administrative Assistant to support a potential Federal client, located in Denver, CO. The position is full-time, long-term, and available upon contract award.
DUTIES AND RESPONSIBILITIES:
· Receive and escort visitors and refer to appropriate staff. This task may involve coordination with other offices (such as Security Office, Parking Office, etc.)
· Receive calls, take messages, and/or forward to appropriate staff.
· Handle routine requests for information and refer to appropriate staff for resolution.
· Personally respond to requests for information concerning office procedures.
· Screen phone calls, visitors, and incoming correspondence. Determine which requests should be handled by the appropriate staff member or other offices. Screen official incoming matters and forward only those which require personal attention.
· Serve as a liaison between the Division Operations Officer and the staff for various administrative items, requests from the division with deadlines and immediate actions, etc.
· Maintain Federal staff calendars (hardcopy and/or electronic).
· Manage complex schedules and calendars.
· Assist in the scheduling of appointments and use of office conference rooms.
· Prepare and format a variety of correspondence, including congressional letters, memoranda, surveys, talking points, summaries and reports.
· Securing sensitive information and property in the appropriate security container or safe.
· Assemble, copy, print, fax, and scan a variety of materials/reports and ensure proper distribution and compliance with official rules and procedures.
· Create and maintain office files.
· Compile data from files, electronic and written communications, and incoming telephone calls to maintain a list of personal contacts for inclusion in reports as a ready reference for the RAC/GS/AS.
· Assist in preparation of packages to National Archives.
· Maintain a variety of administrative lists and charts. Examples include, but are not limited to, organizational charts, phone lists, distribution mailing lists, and inventory lists.
· Provide data entry of pertinent information in various automated systems and using a variety of software such as word processing, spreadsheets, electronic mail, graphics, databases, etc.
· Process background packages and maintain documentation and files.
· Manage databases as required.
· Prioritize tasks and maintain good communication regarding the importance of the task.
· Arrange for meeting rooms.
· Make travel arrangements, including ticketing and United Financial Management System and E2 Travel entries.
· Prepare/input travel orders using corporate cards for non-Federal travelers.
· Prepare vouchers and make travel arrangements.
· Enter Procurement Requests into the United Financial Management System.
· Maintain accurate records of office spending and monitor for office budget and spending activities.
· Perform special data search tasks/projects, as required. Includes gathering information required to respond to FOIA requests.
QUALIFICATIONS
· Must have at least a High School Diploma
· A minimum of 2 years of direct work experience in an office environment.
· Must have Federal Experience
· Knowledge of ATF payment rules and regulations regarding travel.
· Must have knowledge or experience with E2 Travel Systems.
· Excellent Communication skills
