Job Summary
This position provides clear, thorough, knowledgeable, and creative leadership that leads to excellent customer service, student and faculty success, effective communication, efficiency, and streamlined experiences for stakeholders. Integrates various technology functions and platforms into the office operations in consultation with the Management Team. Provides support for management team in identifying options for using technology. Serves as primary Learning Abroad website manager and manages Terra Dotta software for Learning Abroad, the Global Risk Manager, and the Hinckley Institute. Handles day-to-day maintenance of Terra Dotta software. Reviews, analyzes, and evaluates information technology systems operations. Determines user needs and requirements and recommends ways to improve systems. Serves as primary point of contact between users and software provider. Leads the Marketing team through communication plans, publications, events, and digital content. Identifies opportunities and expands outreach to various stakeholders with the goal of increasing participation in Learning Abroad. Supervises student staff on Outreach Team.

Within the Office for Global Engagement, Learning Abroad serves as the central study abroad office for both the Salt Lake City campus and Utah Asia Campus. We send approximately 700 students abroad annually in a variety of majors, participating on faculty-led, affiliate, exchange, and Utah Asia Campus programs. Our operation is growing: over the past few years, pre-pandemic, the number of students learning abroad increased by an annual rate of 15% or more. Our office is flexible and offers many opportunities to use your skills in the education abroad field.

Responsibilities
Integrates various technology functions and platforms into the office operations in consultation with the Management Team. Provides support for management team in identifying options for using technology. Serves as primary Learning Abroad website manager and manages Terra Dotta software. Handles day-to-day maintenance of Terra Dotta software. Consults with users and staff to identify current operating procedures, trouble shoot, and to clarify program objectives. Submits and coordinates troubleshooting requests with software company. Advises on system changes and timelines for improvements. Manages and communicates Terra Dotta deadlines/timelines to stakeholders. Manages application cycles, application process elements, creation of new programs and processes, and other software components. Works with Management Team to ensure that Terra Dotta needs and functionality are considered in management decisions, timelines, and prioritization. Ensures that look and feel of software complies with Learning Abroad Style Guide.
Provides options and feedback for new components of program applications. Monitors best practices in the field to advise on software usage and improvements. Demonstrates ability to self-train on software as needed. Coordinate, develop, and execute Terra Dotta training program for all users. Creates handouts, quick references, and guides to assist with processes.
Works closely with OGE IT Specialist to ensure that system communicates effectively with University software and complies with University requirements. Provides support and planning for upgrades. Takes lead on troubleshooting of problems as they occur including user generated requests for assistance. Reviews, analyzes, and modifies system including testing and debugging to support an organization’s application systems. Manages permissions and coordinates timelines pertaining to the software. Monitors software changes and enhancements to ensure up-to-date usage and training.
Updates Learning Abroad website in conjunction with Management Team, OGE Webmaster, and other relevant stakeholders. Works with various teams to update content and make suggestions. Identifies and implements changes for website improvement. Ensures that terminology, look, and feel of software and website are consistent for users. Supports University student travel registry in conjunction with Global Risk Manager.
Leads Marketing Team to implement and oversee certain aspects of learning abroad activities and responsibilities. Strives to transparently and effectively promote Learning Abroad as a scholarly activity that builds transferable skills using a variety of innovative media and forums in an effort to increase participation and diversity. Coordinates and manages relationships with partners on and off campus to facilitate processes, improve opportunities, foster collaboration, increase efficiency, and set expectations. Monitors best practices and trends in the field to enhance team success and stakeholder experiences. Updates and maintains digital and print materials. Develops and implements a long term strategic plan for the team. Manages, creates, plans, and implements all marketing activities including events, print materials, newsletters, etc. Plans, promotes, and coordinates events such as on and off campus tabling, research poster fairs, classroom presentations, information sessions, New Student Orientation, Admissions events, Learning Abroad Fairs, and International Education Week. Develops, sustains, and implements communication plans for a variety of stakeholders. Sits on Campus Recruitment Council. Coordinates campus visits for affiliates and partners in conjunction with Director.
Hires, trains, and supervises student staff serving on Outreach Team (3-4 Outreach Interns and 1 Outreach Assistant). Works with and provides project direction for Peer Advisor assigned to help with Marketing Team projects.

Minimum Qualifications
Bachelor’s degree, or equivalency, plus three years of experience in developing student programs and services; and a commitment to provide excellent customer service required. Knowledge of global political and economic situations and demonstrated human relations and organizational skills are essential elements for this position. Experience working or studying abroad is highly desirable.
Master’s Degree is preferred, as is a background that includes the ability to market concepts of international education

Preferences
Study abroad experience preferred. Experience in higher education and international education preferred. Direct experience with Terra Dotta software and study abroad business operations STRONGLY preferred. Experience with graphic design software is preferable.
