Job Description : General Statement of Job
Under general supervision, performs clerical work of a bookkeeping nature for the Utilities Department. Work involves loading and processing information received from automated meter reading devices, preparing various reports and final billings and answering phone calls handling routine requests for information. Employee is also responsible for maintaining a variety of records and files. Employee must exercise independent judgment and initiative in completing assignments.
Special Duties & Responsibilities
Prepares various forms and reports performing data entry duties including processing work orders, initiating new service connections, posting deposits and transferring records to general ledger.Assists customers; processes new accounts and account terminations; assigns new account numbers; responds to customer complaints and inquiries regarding leaks or bad readings and initiates investigations; assists customers with billing inquiries and analyzes documentation as needed.Prepares various reports, forms documents including contracts determining fees for service; process and distribute to appropriate personnel.Loads and unloads information from hand held meter reading devices, processing data from computer files and as obtained from meter readers, verifies accuracy of information and edits reports as necessary; processes bills including preparation for mailing.Prepares cut off notices for delinquent accounts; orders disconnection of service for non-payment of accounts; set up payment plans for customers.Prepares billings for bulk rate permits.Receives, reviews, processes, files and/or submits a variety of documents and reports such as delinquency notices, work orders, bills and general correspondence.Utilizes a variety of office machines including computer, typewriter, adding machine, copier, etc.Communicates with other County offices regarding billings, inspections, etc.Tracks closed and/or inactive accounts.Processes new construction meter sets, add fees to the account, follow up for payment of fees; notify Code Compliance department of payments received.
Monitors Lateral Inspection report, add fee to failed inspections. Add new meters to inventory, change out old meters with new meters.
Processes mail received; respond to customer, forward payments to treasurer’s office.
Maintains calendar for important, time sensitive procedures.
Tracks Conservation Irrigation program; process application, add service and fees to account, request necessary work to be completed for instillation of meter, notify proper departments when meter set is completed.Performs other related duties as required.
Minimum Training & Experience
High School Diploma or equivalent and one (1) to two (2) years of experience in a customer service, bookkeeping or clerical atmosphere or any equivalent combination of training and experience which provides the required skills, knowledge, and abilities. Bilingual Preferred.
