Job Description : Position Information
The Department of Environmental Services (DES) is seeking an Administrative Assistant to support the Water, Sewer and Streets (WSS) Bureau, serving as the information conduit from the front desk; which includes reviewing operating procedures, recommending improved systems where needed, and managing office supplies. The Administrative Assistant will also maintain open communication with co-workers and supervisor and provide excellent customer service to WSS employees and the County. This employee will work with a diverse population, some of which have limited English speaking abilities.

Specific duties include:
Assisting in all new hires and on-boarding processes to include scheduling interviews of potential candidates, preparing packets of information for panel members, on-boarding and creating employee files;
Maintaining key databases for all WSS employees and CDL drivers to include shoe/boot vouchers, safety glasses vouchers, and parking passes;
Serving as Admin Assistance for WSS emergency (snow) operations and coordinating emergency teams to include sign in sheets, meal tickets, and providing data entry for snow season report;
Utilizing Microsoft Office to update, maintain and disseminate information on e-Boards and Bulletin Boards;
Processing WSS employees off site training/conference requests while making arrangements for lodging and transportation and assisting employee with requests for reimbursement and expenses related to training and conference;
Coordinating and processing leave donations for employees on FMLA (Family Medical Leave Act);
Assisting with meetings logistics, conference room scheduling, media and audio logistics preparation and serving as back-up to Leadership meetings while preparing minutes weekly/monthly;
Assisting in office maintenance, working equipment, i.e. machines, toilets, kitchen and refrigerator etc., and coordinate on-site contractors; and
Serving as back-up to other administrative team members.
The ideal candidate will be a customer-focused team player, with excellent verbal and written communications skills, be detail-oriented, well organized, technology savvy, and able to effectively balance competing priorities and work well independently.
Selection Criteria
Minimum:
High school diploma/GED or the equivalent; and
Three years of administrative support experience which may have included: support to an executive or senior level manager reviewing or drafting correspondence for signature, extensive scheduling, working with confidential information, establishing priorities, tracking time sensitive projects and coordination of work; computer experience using a variety of software packages to produce correspondence, reports and statistical data.

Substitution:

Satisfactory completion of two years (60 semester hours or 90 quarter hours) at an accredited college may be substituted for six months of experience;
A bachelor’s degree in Public Administration, Business Administration, Human Resources Management or related field may substitute for 1 year of experience;
Education may not substitute for more than 1 year of experience.

Desirable: Preference may be given to candidates with experience in one or more of the following:

Utilizing Microsoft Office, including Word, Excel, PowerPoint, Access and Outlook;
Handling confidential materials;
Extensive scheduling, tracking and coordination of work;
Supporting multiple managers; and/or
Bi-lingual (English/Spanish).
Special Requirements
A pre-hire background check will be required for employment. It may include checks of the following: criminal record, driving record, education, professional licensure, and credit history. You may be required to sign a release authorizing the County to obtain your background information.

Additional Information
Work hours: This is a full-time, 40-hour per week position with core work hours from 7:00 am to 3:30pm., Monday through Friday. Flexible work schedule and partial telework opportunities available per supervisor approval. Employee must be able to perform a 12-hour shift during snow operations.
