Job Description : SummaryThe Customer Service Representative (CSR) is responsible for managing and programing all proprietary fuel cards. A key function is responding quickly and accurately to customer set up in Kardpoll, along with coordinating pertinent information in our other systems. The CSR will be the first point of contact for our Customers, providing them with professional and courteous service in regards to cardlock access, inquires/complaints, and other activities involved in managing the relationship with our customers. Excellent customer service skills are a must. In this role the CSR will assist in developing a companywide parts and inventory system. This individual will be highly organized and able to work with a variety of departments and branches in order to fulfil the job requirements.Core CompetenciesCustomer FocusSense of urgencyCommunicationEnergy & StressTeam WorkQuality OrientationTime ManagementAdaptability/ FlexibilityCreative and Innovative ThinkingDecision Making and JudgementPlanning and OrganizingProblem SolvingResult FocusAccountability and DependabilityEthics and IntegrityMediating and NegotiatingProviding ConsultationLeadershipEnforcing Laws, Rules and RegulationsMathematical ReasoningDevelopment and Continual LearningJob DutiesProgram and manage all Proprietary fuel cardsAssist in development of parts and inventory system for all branchesAdminister card lock access by setting up cards, key fobs, etc. for our Customers and distribute them in a timely mannerUpdate all pertinent systems: Kardpoll, Fuel Pro, Petro-Pass, and card data located on the “Z” drive.Provide timely, accurate response to Customer inquiriesCommitment to AFD Petroleum Ltd.’s Mission, Vision and ValuesWork in conjunction with Operations, AR and Billing to resolve Customer issues.Monitor records and reports to keep abreast of issues that may arise.Be proactive in problem solving to ensure customer satisfaction.Prepare and provide sales detail to customers as requested.Act as liaison to other branches for resolution of day-to-day administrative customer issues.Analyze the effectiveness of current processes; recommend changes based on findings.Lead in the development of a Customer Relationship Management (CRM) strategy and process.Issue all outside company fuel cards, and manage Shell/Esso fuel accounts.Provide fuel cards for drivers upon request.General Data entry using various systems.Building and maintaining customer accounts.Other projects and duties as needed.RequirementsHigh School diploma or GED equivalent, with basic accounting knowledge.2 years or more of Customer Service experience.Ability to examine, develop and implement new strategies to meet Customers needs.Demonstrated ability to liaise with, both Operations and Accounting.Ability to organizing, prioritizing, and scheduling work assignments.
