Job Title: People and Culture Benefits S ervices – Retail and Ventura-based
Reports to: Health, Wellness and Benefits Manager
Location: Remote

The People and Culture Benefit Services Team supports employees to understand and utilize their Company sponsored health and wellness benefits. This role is responsible for day-to-day administration of health benefit enrollment, FSA/HSA, 401(k), Workday time/absence processing, for Retail employees. Responsibilities also include coordination of insurance renewal and employee education meetings; 401(k) participant account auditing, compliance, and education; research of new benefit offerings, participation in benefit focus groups and communication with carriers on plan design issues. This role is responsible for the administration of workers compensation claims for Retail and Ventura employees. The Benefit Services Team supports People and Culture special projects as needed.
What You’ll Do:
Workday
Review all new hire Retail-based employees to ensure they are onboarded correctly in Workday and benefit enrollments are completed in a timely manner and in compliance with labor regulations and according to benefit plan requirements.
Accurately process employee information through Workday, maintain records, maintain electronic personnel files. Ensure all employee files are complete with all required documentation.
Review Workday employee records to ensure benefit related task and events are initiated in a timely manner (i.e., 401(k) passive event, job changes w/ benefit impact).
Re-hires and retro-hires/job changes require manual review with benefit providers.
Maintain/update revised employment related documents in Workday.
As needed, assist employees and managers with Workday self-service tasks and processes. Assist with documentation of Workday processes for Retail-based employees. Identify training needs and work with AskAnthony /Trainer to develop training/education programs and resource tools.
Benefits
Be main point of contact for benefit related questions and benefit administration, resolve issues in a timely manner. Benefit administration incudes medical, dental, vision, life, AD&D, LTD, FSA, HSA, time off, 401(k), and any additional Company offered programs.
Responsible for annual Open Enrollment communication and process. Track enrollment deadlines in Workday and follow up with employees who have not completed enrollment tasks.
Maintain benefit resource documents on annual basis or whenever plan changes dictate.
Responsible for reviewing employee mid-year benefit plan change requests.
Coordinate with AskAnthony /Trainer to conduct benefit training for managers and employees
Assist employees with 401(k) questions, review 401(k) enrollment for all employees to ensure they are passively enrolled with the benefit in Workday.
Assist with 401(k) administrative processes, review ensure account enrollments designations are accurate, administer account corrections, audits, and compliance processes.
Work with HR Operations Manager on benefit invoice reconciliation as needed.
Research new benefit offerings with broker based on feedback from the business.
Reporting and Compliance
Review Workday reports on a weekly, biweekly and/or monthly basis to ensure benefit enrollment is correct, employees are regularly working hours appropriate to status, and wage and hour compliance is being met.
Maintain employee records including I-9/E-Verify employment authorization, visa status, and all employment eligibility requirements are met ongoing.
Follow up with managers and employees on issues identified on the monitored reports to keep each employee compliant with their onboarding tasks, benefits tasks, mid-year changes and documentation necessary for life insurance and long-term care.
Provide reporting to managers and other business partners.
Partner with internal and outside legal counsel for advice on compliant handling of complex pay and personnel challenges.
Maintain HIPAA compliant processes
Payroll
Work with managers and employees to ensure employee missed punches and time off are resolved in Workday prior to payroll processing.
Review open unemployment cases via the administrator website. Gather and submit information as requested.
Other Responsibilities
Respond to worker injury situations and process workers compensation claims. Maintain the Company’s Workers Compensation plan for Retail and Ventura employees; file claim paperwork, respond to requests for information from carrier, follow-up with employees for return-to-work release.
Review/analyze work related injury situations and partner with the business to create awareness training to reduce injuries.
Assist with special projects as identified.
Back up Benefit Services team as necessary, including leaves of absence.
Back up AskAnthony /Trainer as necessary.
Respond to escalated/complex HR Helpdesk/Zendesk tickets.

Experience you bring:
Bachelor’s Degree in business administration or related discipline or equivalent experience.
3+ years’ experience benefit administration with experience working in HRIS systems.
Proficient knowledge of multi-state labor laws and general HR practices.
Strong computer skills (Workday, Sharepoint , Excel, Word, and Outlook).
Ability to maintain confidentiality and professionalism.
Excellent customer service and communication skills. The ability to write clearly and persuasively in addition to defining problems and articulating solutions within a group setting.
Comfortable with team-based work structure; ability to demonstrate flexibility on the job.
Demonstrates initiative, is conscientious and provides complete follow-through on all areas of responsibility.
Ability to work in a fast-paced work environment with minimal privacy and numerous interruptions.
