This is a high visible and high exposure role that works cross-functionally with different executives providing administrative, scheduling, and other type of assistance. Ideal candidate should exude a superior level of professionalism, be able to multi-task and prioritize in a fast-paced work environment.ESSENTIAL DUTIES: Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executives’ behalfManage complex office administrative work requiring the use of independent judgment and initiativeMaintain confidentiality of highly sensitive informationPerforming minor accounting duties, record daily expenses and prepare weekly, monthly, or quarterly reportsOrganizing meetings, including scheduling, sending reminders, and organizing catering when necessaryPrepare reports, collect, and analyze information; prepare presentations.Answering phone calls in a polite and professional mannerManaging multiple executives’ calendars, including making appointments and prioritizing the most sensitive mattersReminding the executive of important tasks and deadlinesCoordinate travel and accommodation requirementsCarrying out specific projects and miscellaneous tasks when requiredAttend different company events and in-person meetingsMaintaining comprehensive and accurate recordsActing as the point of contact among executives, employees, clients, and other external partnersManage information flow in a timely and accurate mannerAct as an office manager, keep up with office supply inventory, organize and maintain office filing systemTake minutes during meetingsOther duties as requiredSKILLS: Excellent organizational skills including attention to detail and multitasking skillsOutstanding organizational and time management skillsAbility to remain calm and collected in high pressure situationsExceptional written and verbal communication and collaboration skills.Possess positive attitude, sound judgement, and top-level professionalismAble to maintain confidentiality and discretionAble to work flexible work scheduleProficiency in Microsoft Suite, Office, Google Suite and Slack.Proficiency with Google Meet/Zoom platformFamiliarity with office equipment and applications (e.g., e-calendars and copy machines)College BA and 5+ years of relevant work experience as an Executive Assistant, Personal Assistant, or similar rolePrevious work for a talent agency, Social Media company or similar talent management experience preferredEntertainment/Startup experience is a plusPHYSICAL REQUIREMENTS: Ability to talk or hear in order to give and receive information and instructionsAbility to stand, walk, sit, use hands to finger, handle or feel objects, tools or controlsAbility to reach with hands and armsAbility to use computer keyboard up to 80% of the dayVisual acuity, ability to adjust focus and peripheral vision for work on a laptop or other computer equipmentLift and/or move up to 25 poundsThis job description is not intended to be all-inclusive.
