Responsibilities
OVERVIEW :
This position provides a variety of administrative services for the entire Division of Student Affairs that include four core Divisional functions; Safety & Ergonomics, Imaging, Mail Services and Facilities. The incumbent will work closely with the Subject Matter Expert’s (SME’s) while receiving general direction from their supervisor. However, to be successful in this position the incumbent will need to be equally as strong working independently on each of the four core functions.
IMAGING : Responsible for ensuring all 70,000+ undergraduate paper and electronic documents received annually from 26,000+ students are opened, sorted, scanned, QA’d and linked appropriately to ensure the Admissions, Financial Aid, Registrar Office and most importantly our students have a smooth experience and ability to view all documents electronically.
MAIL SERVICES: Handling all mail duties including shipping by 3rd party vendor nationally and internationally for assigned departments. Seasonally, incumbent will be responsible for coordinating with various Admissions and Enrollment (A&E) representatives on timely shipment of publications across the nation to aid in yield activities. Position will be responsible for maintaining an onsite inventory of materials to support these activities.
FACILITIES : This position provides services in support of organizing, planning, logistics and execution of office moves, work orders for office and building repairs and building services, coordinating work requests and vendors, organizing and coordinating minor building refreshes and repaints as well as larger building renovation projects (in concert with Capital Projections), and all administrative aspects of building management. The incumbent provides all aspects of equipment management, maintenance contracts and oversees installation. In summary, this position supports critical departments within all of Student Affairs through managing various known and unknown requests, which may also be general and or administrative in nature, by problem solving, creating efficiencies and delivering the highest levels of customer service.
SAFETY AND ERGONOMICS: Responsible for ergonomic assessments, follow-up, and education of Student Affairs staff. Responsible for implementing and documenting workplace safety measures, as specified in the department’s injury and illness prevention program. Position will support the mission of the Divisional Safety Officer and Leave of Absence Specialist as needed.
Required Qualifications
Must be able to lift 50 lbs
Minimum of two (2) years of experience between any of the four core responsibilities and or verifiable adminsitravie and customer service experience.
Excellent organizational, problem-solving, and oral/written communication skills.
Excellent interpersonal communication skills and political acumen, including skill in effectively communicating with staff at all levels.
Demonstrated ability to provide excellent concierge-style client service.
Demonstrated skill in critical thinking, active listening, and persuasiveness, to communicate effectively with a diverse client base.
Thorough organization skills and ability to multi-task within demanding timeframes.
Demonstrated skill in managing projects from beginning to end, including the ability to independently research options, review and assess a range of variables to define key issues, evaluate reasonable alternatives, and make logical recommendations and decisions.
Ability to analyze information and synthesize data with a strong attention to detail.
Ability to work independently and as part of a team.
Ability to use sound judgement in responding to issues and concerns.
Intermediate computer applications skills in Word, Excel
Ability to learn and master new computer applications
Ability to determine when issues/problems need to be brought to the attention of higher level staff and/or management.
Preferred Qualifications
Working knowledge of concepts, principles and practices in computer workstation evaluations and support services.
Experience implementing workplace safety programs
Experience using ImageNow document imaging software and techniques
Experience with facility and equipment management.
Salary & Benefits
