Position : Scanning/Customer Assist
Job Description : Scanning patient information into the electronic medical record; assists visitors to the department and answers the telephone during assigned phone times and back-up times; report retrieval from other departments. Scanning clerks should be highly organized and well versed in various types of filing systems and methodologies. They should also be comfortable working with computers and computer storage systems. . HIPAA maintains stringent guidelines over these records.The main function of this position is to produce digital copies of paper documents for retention purposes. The scanned copies of the documents need to be legible; otherwise they’re of no use. The scanning clerk manning the scanner needs to make any adjustments necessary for clean, readable scans.Responsible for the retrieval of outpatient and emergency room records from emergency room departments as well as retrieve reports from laboratory, radiology and cardiopulmonary departments on a daily basis.Responsible for obtaining the correct medical record number for those records which do not have a number or have the incorrect number prior to scanning the paper record. Makes corrections, additions, and deleting in the Affinity systems.Separate what needs to be scanned from what has been scanned from the documents you picked up from the ancillary departments. The documents are placed in bins of “already scanned” because they have to be verified as scanned accurately; “to be scanned” as these need to be reviewed, readied for scanning with correct medical record and account numbers on them and then passed along after scanning to the box labeled “those that need to be verified “. Documents are scanned into either Pulse Check or QuickChart.*Answers the telephone and assists visitors to the department*Responsible for releasing information in accordance with departmental policy and state regulations.*Other duties as assigned by Department CoordinatorNone Works under the direct supervision of the Department Director and Coordinator*High school education or equivalent*Knowledge of filing, office equipment and procedures.Entry level knowledge of medical terminology*Must possess good communication skills, both oral and written.*Must have good problem-solving and conflict resolution skills.None.Newborn Infant/Pediatric Adolescent Adult Geriatric All :*Visual and hearing acuity pertinent to communicating with hospital staff.Must be able to do a great deal of lifting and carrying charts from one room toanother, trips to other departments and outside storage facility.
