Job Description : CORE WORK ACTIVITIES

Ensure new units are evaluated and meet MCH standards for participation in rental program assist owners as needed to comply with and meet rental standards. Assist owners in upgrading and maintaining their rental units, providing information and comparables bids/proposals as needed.

Act as liaison between unit owners and vendors for repair/upgrading of units. Prepare work orders for maintenance repair and submit to accounting after work is completed and inspected. Take pictures of renovations as they occur with copies to owner and owners file. Track warranty information and supply to Account Manager as needed.

Spot check rental units to ensure units are being maintained as per standards. Conduct annual inspections, oversee unit evaluation program and grading of all rental units and prepare individual written reports with pictures for all owners based upon the results of inspections.

Forward evaluation reports, explanations and related data to owners. If outside vendors are used for evaluation process responsible for coordination and communication with vendor spot checking vendor results, preparing and reviewing reports prior to delivery to owners and verify and processing invoices for evaluations services from vendor for processing by Accounting .

Gather generic as well as unit specific bids/proposals for repairs/maintenance and renovations of rental units using licensed contractors (verify general contractor or other licenses active and in good standing with DCCA) (with exception for Handyman when total job including parts and labor is less than $1000.00) for presentation to Owners. Coordinate work for owners with vendors, reservations department and property AOAO as needed.

Prepare and maintain Vendor reference list for Owners and Account Managers use.
Shop, purchase and pick-up items for rental units as needed. ( must have own vehicle)
Update PMS unit descriptions for current and accurate information for reservations use.

Coordinate unit key controls and electronic lock maintenance.

Prepare and Coordinate Housekeeping Schedules

Provide and Collect signed Independent Housekeeping Agreement for all current and any new Housekeeping Vendors used by/or before being used by MCH, coordinate collection of W-9, Certificate of Insurance as required with Accounting

Provide Assistance in Training of Arrival Inspectors and cover Arrival Inspectors duties as needed and assigned by Owner/Guest Services Manger

Perform all duties of Lead Reservations Agent as needed as well as schedule appointments compose prepare and distribute professional letters and memos internally and to owners and or vendors, develop filing systems to maximize efficiency, enter data and maintain records, administer programs, projects and/or processes specific to MCH, serve as administrative liaison and coordinator with other departments and outside entities, lead the MCH safety committee and complete required reports for same .

Attention to customer service with a professional and pleasant personality

Available to work a flexible schedule including evenings, weekends, and holidays

Perform other reasonable job duties as requested by Supervisors

CANDIDATE PROFILE

High School Diploma or equivalent, some college preferred, construction, maintenance or related field experience, customer contact experience preferred

Vacation Rental Owner and Guest Services Experience

Must have excellent written and verbal communication skills

Must be organized and provide excellent customer service

Real Estate License a plus but not required – no real estate sales activity is allowed in this position so as not to create a conflict of interest or alienate real estate agents from referring customers to MCH
