Job Description : JOB TITLE: Patient Service RepresentativeREPORTS TO: Front Office SupervisorSUPERVISES: NAPOSITION SUMMARY: Responsible for patient registration and scheduling, answering phones, the taking and relaying of messages, maintaining the medical records and mail. Provides secretarial support as needed.I. ESSENTIAL JOB FUNCTIONS:A. Patient Scheduling1. Schedules patients for consults, follow-ups, and simulations as needed.2. Gathers the necessary medical information for the patient’s appointment (i.e. preauthorization, medical records, lab results) and scans into ARIA.3. Sends out the “Welcome” packet to the patient via email, mail or fax.4. Greets patients when they arrive and check patient into ARIA. If patient is a New Patient, have patient complete registration forms, enter/scan demographics and insurance into ARIA/Akamai and prepares a new chart.5. Greets visitors in a friendly and professional matter. (i.e. family members, Vendors, etc.)6. Directs patients after they check in.7. Input monthly schedules/meetings for physicians8. Preps patient’s chart- collects patient information according to diagnosis and ensures all pertinent information (referring physician’s H&P/ labs, imaging, operative notes, pathology, any pertinent outside correspondence) are received/updated a scanned into EMR before patient’s appointment9. Epic and Kaiser access into ARIA EMR for records retrieval10. Scan reports, labs and diagnostic testing results in charts.11. Provide patients with parking validation stickersB. Telephone Support1. Answers phones by the third ring.2. Ensures that front desk coverage is always provided to greet patients and provide phone coverage.3. Relays messages in a timely manner.4. Take complete messages in neat handwriting.5. Maintains phone recordings and turns on night mode at the end of the day6. Troubleshoots phone problems and calls telephone company for support when needed.7. Sends and delivers faxes in a timely manner.C. Secretarial1. Assists physician with the timely distribution of medical reports2. Assists leadership and physician with written correspondence, copies, filing, etc.3. Makes sure that the printer, fax and copier machines are loaded with paper through out the day and at the end of the day.4. Assists with the mail-out/distribution of marketing materials.5. Maintains the mailing lists for TCCH (physician, administrative, marketing).6. Sends out appropriate thank-you cards.7. Maintains inventory of office supplies.D. Medical Records and Patient Confidentiality1. Maintains TCCH’s medical record by scanning into ARIA/shared drives.2. Complies with HIPAA regulations as they apply to job; protects patientconfidentiality.E. Patient Co-payments1. Prepare and collect co-payments from patients2. Confirm cash, check and credit card receipts prior to sending to the billing departmentII. OTHER REQUIREMENTSA. Knowledge of insurance requirements for pre-authorizations.B. Coordinates hospital registration as needed for TCCH patients.C. Obtain referrals and authorization for services as needed.D. Complies with TCCH’s policies and procedures to ensure quality patient care and safety.E. Promotes a positive, professional, working relationship with patients, physicians, peers and staff.MARGINAL JOB FUNCTIONS:1. Performs other duties/special projects as needed2. Provide assistance to other contracted companies with support as per TCCH’scontract3. Coverage for transcription staff as needed for retrieving documents in ARIA andfaxing outside requests.PERFORMANCE REQUIREMENTS:1. Good interpersonal relations skills2. Knowledge of radiation oncology scheduling procedures3. Knowledge of medical records requirements4. Skill in preparing and maintaining records5. Able to operate office machinery6. Computer literate7. Ability to prioritize duties8. Ability to react calmly and effectively in emergency situations9. Ability to interpret, adapts, and applies guidelines and procedures10. Ability to communicate effectively in person, over the phone, in writing and bycomputer11. Ability to handle difficult situations.WORKING CONDITIONS1. Not substantially subjected to adverse environmental conditions. Little or noexposure to radiation, body fluids, communicable diseases and mechanical/electricalunitsTYPICAL PHYSICAL DEMANDS1. Essential: standing, sitting, walking, seeing, hearing, speaking, moving, lifting usual weight of 5 pounds up to 30 pounds, finger and hand dexterity.2. Continuous: sitting, carrying usual weight of 5 pounds.3. Frequent: stooping/bending, gripping of an object.4. Occasional: kneeling, squatting, twisting body.PERSONAL DEMANDS1. May require evening and weekend hours2. Must be able to work in either locationMINIMUM QUALIFICATIONS1. High school degree or equivalentPREFERRED QUALIFICATIONS1. Previous medical front office experience2. Front office experience in radiation oncology2. Knowledge of ARIA software3. Knowledge of medical terminology4.
