Job Description : SummaryThis position is responsible for analyzing and organizing office and administrative operations and procedures for the offices located at HQ, Dallas, and Chicago by performing the following duties.Essential Duties1. Manage all aspects of the administrative and facility needs of the HQ, Dallas, and Chicago offices.2. Become point person for maintenance, mailing, shipping, supplies, and equipment.3. Identify opportunities for process and office management improvements, and design and implement new systems.Job Duties· Oversees and supports all administrative duties in the office and ensures that office is operating smoothly.· Serves as a main point of contact for all office staff and visitors, such as greeting visitors, answering and directing phone calls, etc.· Provides administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.· Schedules any building repairs, carpet cleaning, window cleaning or other facilities maintenance needs and coordinates with any staff impacted by the repairs.· Assists with administrative HR tasks and onboarding of new team members.· Manages office supplies inventory and place orders as necessary.· Coordinates with IT department on all office equipment and administrative tasks.· Sources and negotiates contracts for office needs to include supplies, repairs, events, and maintenance.· Participates actively in the planning and execution of all company events.· Provides support to sales and operation teams, as needed.· Utilizes strong organizational and time management skills, and ability to prioritize, to ensure completion and implementation of all work.· Demonstrates proficient use of Microsoft and Google products in the scope of their work duties.· Maintains punctual, regular and predictable attendance.· Works collaboratively in a team environment with a spirit of cooperation.· Respectfully takes direction from manager.· Other duties as assigned.Supervisory ResponsibilitiesThis position does not have any supervisory responsibilities.QualificationsAbility to perform essential job duties with or without reasonable accommodation and without posing a direct threat to safety or health of employee or others. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.Mathematical SkillsAbility to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.Computer SkillsHas advanced basic computer job skills including logging on to systems, ability to communicate by email, ability to compose documents, enter database information, create presentations, download forms, and preserve/backup important data.Reasoning AbilityAbility to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
