If so, we want to hear from you!__*Fedelta Home Care is a leading in-home health care agency that has an exciting opportunity for an Executive Assistant *to join our team! In this role you will service as a trusted advisor to the Executive Leadership team through implementation of various company initiatives, task and project management, schedule and agenda management, and correspondence. This position is the first point of contact for operational related issues and will add value to the team through the ability to be solutions oriented, provide exceptional customer service, responsiveness, and ability to maintain confidentiality.Duties/Responsibilities: Complete a broad array of administrative tasks for our Executive leadership team including managing multiple active calendars, composing confidential correspondence drafts or verbal instructions, arranging itineraries and agendas, developing presentations, handling calls and routing incoming mail.Responsible for supporting the calendar management for our Executive leadership team. Proactively prioritize, schedule, coordinate and communicate required meetings and events.Provide support with meeting coordination, preparation of correspondence, meeting agendas, development of presentations and meeting materials, gathering documentation, and ensuring follow up from meeting agendas or other support as needed.Set up and maintain workspaces and meeting rooms including catering, audio visual equipment or troubleshooting as needed.Draft, edit and proofread business correspondence, slides, detailed meeting notes, documents presentations for accuracy.Answer incoming calls to main company phone line. Respond to general inquires and related questions. Redirect calls as necessary to appropriate Fedelta team member.Greet and welcome all visitors to the company office with emphasis on providing excellent customer service. Make necessary inquiries to determine the nature and purpose of the visit; and direct or escort to the appropriate Fedelta team member.Manage internal company mailing processes. Order necessary supplies such as stamps and mailing envelopes. Sort incoming received mail to appropriate team members and ensure all outgoing mail is sent out in a timely manner.Ensure all departments have the necessary office supplies and equipment needed to work comfortably and efficiently by conducting regular audits. Order necessary office supplies as needed.Qualifications: 3-5 years’ experience as an assistant to a Board of Directors, Executive/senior-level staff, or other relevant administrative support experience in managing multiple priorities, administrative coordination, and logistics. Any of other equivalent education and work experience.Previous experience in healthcare or home care industry is a plus.Demonstrated experience in Microsoft Office Suite. Technical aptitude to proficiently use CRM systems and healthcare programs.Requires excellent organization and critical thinking skills, attention to detail, excellent follow through and ability to handle sensitive situations with confidentiality and discretion.Must be able to maintain a high level of professionalism and poise. This position requires above average interpersonal skills and ability to build relationships.
