Position : Human Resources Assistant
Job Description : DescriptionPerforms administrative work in support of the planning, organizing and implementation of the City’s Human Resources & Risk programs under general supervision. Areas of assignment included, but are not limited to, classification and compensation, benefits administration, risk management, training, employee and labor relations, performance management, and other employment-related functions.Examples of DutiesSalary Range $17.10-$21.80Answers primary phone for department; greets visitors and provides customer service assistance.Provides general information regarding City and department policies, programs and procedures, and refers inquiries to other human resources staff as appropriate.Receives and distributes documents received by mail, facsimile and prepare/distribute outgoing mail.Creates employee personnel and benefit file folders for new hires, and is responsible for filing documents on a weekly basis.Assists in coordinating City-wide training and wellness eventsResponsible for organization, storage and retention of active and terminated employee files; pulls termination reports on monthly basis, removes applicable files and prepare for storage. Works with City Clerk’s office to ensure human resources records are processed in compliance with applicable public records standards.Makes copies, scan and fax documents and performs other clerical duties as directedReceives and responds to routine external correspondence following established department procedures (employment reference checks, income and employment verifications)Schedule participants into training sessions; track participants and training records.Determines need of office supplies, equipment, and materials. Replaces or purchases new office supplies and equipment as needed.Perform specialized administrative duties required to support the department, using discretion to make judgments based on operating guidelines.Assists in processing payments to the Risk and Benefits providersAssists contacting employees and distributing Wellness gift cardsAssists the Risk/Benefits Officer in gather and scan information in respond to request to produce, Subpoena and any other Legal cases.Maintains information related to Risk and Benefits on City’s IntranetMonitoring City-wide Labor Poster updates.Assists the Risk/Benefits Officer to administer the online Safety Training strategy utilizing Mineral website.Performs other duties as assigned.Typical QualificationsEducation and Experience: High school diploma or equivalent; supplemented by two (2) years of human resources office experience; equivalent combination of education, certification, training and/or experience may be considered.Preferred Qualifications: 2 years’ experience as a Human Resources Administrative AssistantSkills, Work Environment and HoursKnowledge, Skills and Abilities: Advanced knowledge of Microsoft Office products (Word, Outlook, PowerPoint, and Excel)Knowledge of office practices and proceduresSkill in dealing tactfully and professionally with internal and external customers, including distraught, discourteous or irritated customersAbility to multi-task and meet deadlines, while shifting priorities as needed.Ability to maintain high level of confidentiality of human resources informationAbility to interface courteously and cooperatively with employees and general publicAbility to organize, prioritize work and meet deadlinesAbility to regularly attend work and arrive punctuality for designated work schedulePhysical DemandsDepending on the functional area of assignment, tasks involve the ability to exert light physical effort in sedentary to light work, which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (up to 20 pounds). Tasks may involve extended periods of time at a keyboard and work station.Work EnvironmentThe worker is not substantially exposed to adverse environment conditions: job likely consists of typical office work or administrative work.Work Hours: Monday – Friday 8:00am – 5:00pm (punctuality required)Emergency Management ResponsibilitiesNote: During emergency conditions, all City employees are automatically considered emergency service workers.
