Job Description : Gilmore Memorial PreschoolThe administrative assistant plays a vital role in organizing, managing, and running an office. They are responsible for clerical and organizational tasks like file organizing, scheduling appointments, assisting other staff members, and drafting correspondences or messages..ResponsibilitiesImplement the mission of the organizationActing Director in the Director’s absenceAnswer and direct phone callsOrganize and schedule appointmentsPlan meetings and take detailed minutesSupervise and support the Supporting Staff: Maintenance Technician, Security Guard, Family Worker, Food HandlerImplement HR policies, procedures, and forms for staff members, which includes housing Insurance information, staff files, new employers’ packages, and other relevant informationImplement USDA requirements and proceduresAssist with implementing and maintaining the fundraising events for the entire corporationExplain or answer procedural questionsMeet with other administrators, parents, and community organizationsAssist with marketing the entire programConduct Emergency/Preparedness DrillsRecord and submit staff attendance to administratorsCollect money from 4C’s participants, late fees, and private participantsSchedule Picture Day and assist the Family Worker when necessaryCompose and prepare correspondence related to potential attending students and daily attendance records as assignedPrepare correspondence, documents, reports, memos, and flyers as neededMaintain files in an organized and accessible manner to include updating information, purging data regularly, and creating a new filing system as neededProvide administrative support for the project to include research, compiling data, and preparation of summary reports based on resultsProcess all necessary intake forms for new students’ meetings and appointments as neededMaintain inventory of office supplies and order additional supplies as neededAttend in-service training, conferences, staff meetings, community events, membership meetings, and parent/guardian meetings as requiredAttend specialized training, and workshops on how to expand our financial compacity, to acquire new resources, and to be updated with the changes that relate to Early Childhood EducationBuild a partnership with other local community organizations to expand GMP networking compacitySkillsOral Communications Skills OrganizationWritten Communication Skills Project ManagementInterpersonal Relationship Reading SkillsNegotiations PlanningProfessionalism Time ManagementPresentation Keyboard SkillsMath Aptitude Computer LiteracyEducation/ TrainingDegree: An Associate or Bachelor’s Degree in Business, Management, or Marketing is RequiredExperiencePrior experience in Academic, Administration, Marketing, or Business Management requiredMust be computer/technology savvy.Job Types: Full-time, ContractPay: From $35,000.00 per yearBenefits:401(k)Dental insuranceHealth insurancePaid time offVision insuranceSchedule:8 hour shiftCOVID-19 considerations:Staff and Students are required to wear a mask.Ability to commute/relocate:Paterson, NJ 07514: Reliably commute or planning to relocate before starting work (Preferred)Application Question(s):We must be good a communicator and have excellent interpersonal skills.Education:Associate (Preferred)Experience:Administrative Assistants & Receptionists: 2 years (Required)Customer service: 1 year (Preferred)Language:English and Spanish (Preferred)Security clearance:Confidential (Required)Work Location: One location
