Job DescriptionIntake SpecialistDepartment/s SubsidyFLSA Classification Non-ExemptReports to Child Care Works (Lemoyne) or Eligibility Manager (York)Primary Contacts CCC Subsidy staff, clients, general publicJob summaryThe Intake Specialist works under the direct supervision of the Child Care Works or Eligibility Manager to process and collect all documents required for Child Care Works (CCW) applications and is the main point of contact for all new applicants. The Intake Specialist holds and demonstrates a strong belief in the mission and vision of the CCW subsidized child care program and all CCC programs.Summary of job responsibilities:Prepares new applications and COMPASS applications for eligibility determination in accordance with DHS regulations and proceduresContacts and provides outreach to clients through the new application processResponds to program questions from face-to-face, phone calls, and electronic inquiriesProvides regular and back-up services for the Receptionist positionResponds to program questions from face-to-face, phone calls, and electronic inquiriesMaintains appropriate documentation in PELICAN CCW database and other spreadsheetsAttends and participates in agency and Subsidy staff meeting and appropriate training opportunitiesRepresents Child Care Consultants, Inc. and its programs at community visibility eventsPromotes and supports the mission, values and goals of Child Care ConsultantsMaintains high performance standardsCore competencies: Ability to communicate effectively (both verbally and in writing) and work productively with a diverse population of internal and external clientsAbility to effectively and appropriately prioritize among competing demandsAbility to independently plan, organize, and complete assigned work correctly and professionally within specified time framesAbility to take initiative and work independently and also be a good team playerExcellent organizational skills and the ability to excel at details, multi-task and work under pressureUnderstanding of confidentiality issues and ability to maintain a high level of confidentiality in all working relationshipsAbility to interpret and apply DHS Child Care Work (Subsidy) regulationsAbility to maintain complete and accurate files and recordsDemonstrates a commitment to safety and complianceExhibits sound decision makingProficient computer skills in word processing and spreadsheets (MS Office preferred)Minimum qualifications and experience:High School Diploma or GED; some college preferredTwo years office administrative supportBilingual preferredSummary of Essential Job Functions:Review enrollment paperwork and prepare new applicationsAnswer agency phones, ability to use a multiline phone systemAbility to communicate effectively with others both orally and in writingAbility to handle a high volume of walk in clients and clients in a professional manner with a focus on providing excellent customer serviceAbility to input, access, manipulate, and retrieve information from a computer, use a telephone and mobile phoneAbility to travel independently, with a reliable form of transportation, throughout York County and the Harrisburg areaNormal physical demands associated with work in an office environment, including lifting, bending, and carrying.Work schedule:Rotation Schedule: Weeks 1, 2, 3 – 8-hour shift Mon. – Fri., hours as assigned, ½ hour lunch breakWeek 4 – 7.5-hour shift Mon. – Thurs., hours as assigned, ½ hour lunch breakOccasional evenings and weekendsCCC is committed to providing equal employment opportunities to all employees and applicants for employment.
