Job Description : Title: Human Resources Assistant
Grade Level: N/A
Status (FLSA): 12-month, Non-exempt, Hourly
Base: Hybrid office and work from home position
Reporting Relationships:
Ascending: Director of Human Resources
Descending: N/A
Position Summary:
The Human Resources Assistant will perform administrative tasks and services to support effective and efficient operations of the school’s human resource department. This position will:
Maintain accurate and up-to-date human resource files, official personnel files, records, and documentation.
Monitor and manage the HR department email address inbox; assist in answering frequently asked questions from staff and external entities relative to school policies, HR processes and programs, etc.; refers more complex questions to appropriate senior-level HR staff.
Maintain the integrity and confidentiality of human resource files and records.
Administer and assist with Human Resource Information System (HRIS) (UKG) transactions, which includes data entry for onboarding, transfers, promotions, salary increases, retirements, resignations, etc.and review related reports.
Facilitate the process and execution of related services provider clearance checks
Assist in the creation and delivery of HR department reports
Receive, maintain, and track staff clearances; ensure clearances are filed appropriately in employee personnel files.
Monitor expiration of staff clearances to ensure compliance; manage the notification process to alert staff to renew clearances
Perform periodic audits of HR files and records to ensure all required documents are collected and filed appropriately.
Provide clerical support to the HR department to include filing, scanning, facilitating flow of paperwork and other related processes, .
Education/Qualifications
Minimum Education/Certification:
Associate’s degree from an accredited university or college
Experience Requirements:
Previous human resource experience is preferred.
Experience in a school environment is preferred.
Hands-on experience with HRIS or similar applications
Previous customer service experience in a professional setting.
Knowledge / Skills / Abilities
Proficient with or the ability to quickly learn human resource information systems (HRIS) and/or similar computer applications.
Understanding of general human resources policies and procedures
Ability to connect with a diverse group of people and build strong relationships
Operating knowledge of and experience with personal computers and peripherals.
Operating knowledge of and experience with typical office equipment, such as telephones, copier, e-mail, etc.
Proficient use of technology in an office setting using complex data systems.
Ability to prioritize, multi-task, delegate, and lead by example.
Proficient in MS Office, including Word, Excel, PowerPoint, and Outlook.
Proficiency in computer applications, specifically Google environments.

Essential Functions / Duties / Responsibilities:
Must reside in the state of Pennsylvania
Ability to pass the background checks required for all school employees in Pennsylvania.
This position could include limited travel and could include limited overnight travel.
Physical Requirements/Environment
Ability to stand, bend, stoop, sit, lift, reach, communicate (vision, hearing, and speech), carry or convey sufficient weight to safely and effectively carry out functions, duties, and responsibilities
Ability to independently ambulate
Ability to travel to and from assigned work locations without employer support
Able to independently read, write, speak, and comprehend the English language
Ability to work every Monday through Friday during normal work hours, as well as infrequent extended hours.
Must have sufficient visual acuity to be able to work with computers and associated equipment as well as read and interpret handwritten documents.
