Nature of Work, Essential Functions & KSA’s
NATURE OF WORK
**HOURS FOR THIS POSITION ARE 12:00PM – 10:00PM WEDNESDAY AND THURSDAY, 12:00PM – 9:30PM FRIDAY**
Under the direction of the Administrative Captain, this position is responsible for the maintenance of the Police Department records and various legal documents. Functions shall include performance of various clerical duties, reporting, filing and indexing.
ESSENTIAL FUNCTIONS
Report, file and index department records.
Communicate professionally and effectively with citizens and City staff in responding to needs and requests.
KNOWLEDGE, SKILLS & ABILITIES
Knowledge of business office procedures.
Knowledge of good English and mathematics.
Knowledge of general practices of receipt of payment for various fines and related accounting and reconciling practices/procedures.
Communicate effectively, both verbally and in writing.
Maintain accurate and detailed records.
Work independently within established guidelines.
Ability to sit continuously at a computer terminal or reception station for extended periods.
Ability to operate standard office equipment, including: copier, fax machine, multi-line telephone etc.
Ability to use a personal computer, Microsoft Office applications, and database applications.
Ability to take accurate notes and maintain documentation accurately.
Ability to maintain departmental information confidential.
Ability to exclude personal biases from work performance.
Illustrative Examples of Work / Physical Requirements & Working Conditions
ILLUSTRATIVE EXAMPLES OF WORK
Respond efficiently to records requests for various persons and agencies.
Generate reports as requested.
Provide bike licenses, bonds, record checks, etc.
Responsible for lost and found property, meter bag rental, parking invoicing and summons.
Work with CAD (Computer Aided Dispatching) as required by the department or citizens.
Review and file officers’ daily reports (FBI filing classifications, addition of UCR classifications and property etc.)
Answer phones and greet citizens at front reception window and provide appropriate information.
Record OVI tapes.
Process Ride-A-Long requests.
Maintain and replace a variety of packets, including domestic violence, booking, grand jury, alarm etc.
Maintain various office equipment and supplies.
Performs other related duties as assigned.
PHYSICAL REQUIREMENTS & WORK CONDITIONS
Majority of work is performed in an office environment where the physical demands require sitting for extended periods of time; frequent use of computers and standard office equipment; may work under stress of deadlines.
Sufficient clarity of speech and hearing or other communication capabilities, with or without reasonable accommodation, which permits the employee to discern verbal instructions and to communicate effectively with others in person and over the telephone.
Sufficient visual acuity, with or without reasonable accommodation, which permits the employee to comprehend written work instructions and to review, evaluate and prepare a variety of written materials on a computer for extended periods of time.
Sufficient manual dexterity, with or without reasonable accommodation, which permits the employee to operate standard office equipment and computer systems.
Sufficient personal mobility and flexibility, with or without reasonable accommodation, which permits the employee to work in an office setting and to sit for extended periods of time.
Sufficient ability and strength to lift, carry, or otherwise move objects up to ten (10) pounds for varying distances.
Training, Experience, and Qualifications
Any combination of training and experience which would indicate possession of the knowledge, skills and abilities listed above.
High school degree or G.E.D.
Must be honest, dependable, and trustworthy.
Must pass an extensive background check including a polygraph.
