Position : Administrative Associate
Job Description : The Administrative Associate will provide high-level support to the Associate Vice Provost of Undergraduate Education and the Assistant Vice Provost of Research (AVPs) within the Office of Student Academic Success (OSAS). The AVP of Undergraduate Education engages with partners university-wide to propose, review, and implement educational policies that support the academic mission of the university and the academic success of its undergraduate students, and provides administrative oversight of the general education program (https://oaa.osu.edu/general-education). The AVP of Research directs the Student Success Research Lab (ssrl.osu.edu), and supports the continuous improvement of units within and outside OSAS by conducting original research, providing evidence on national best practices, and coordinating key OSAS strategic planning and assessment processes. The successful candidate will maintain knowledge of both AVPs’ areas, activities, and priorities, and help manage the AVPs’ time to optimize those priorities. The Administrative Associate has authority and frequently exercises discretion when acting on behalf of the AVPs. KEY DUTIES:
Scheduling (30%): Schedules and maintains both AVPs’ complex calendars; proactively plans meetings by preparing needed materials and background information; ensures timely and strategic follow-up on action items. Understands the relative strategic value of competing meetings, anticipates conflicts, and makes decisions independently to manage the AVPs’ time through coordination and prioritization of the AVPs’ schedules and commitments; coordinates with other leaders’ calendars as necessary.
Communications (20%): Serves as primary contact and liaison for both AVPs’ offices with all other University offices and external constituencies; assesses and resolves any concerns and problems directed to both AVPs’ offices, or determines course of action and delegates to appropriate person to manage. Assists in preparing communications for the AVPs (e.g. PowerPoint presentations, reports, etc.). Conveys and manages highly sensitive information while maintaining the utmost confidentiality.
Office Management (40%): Assists with the logistics of regular processes within the AVPs’ portfolios, including hiring processes, proposal review processes, and academic misconduct case management processes. Provides management of office operations and handles additional administrative duties, which may include supervising student workers, managing purchase orders, assisting with budget preparation, coordinating special events, organizing information for AVP review, managing routine website updates, and providing support for other members of the team. Performs other project and duties as assigned.
Travel Management (10%): Coordinates all details of the AVPs’ travel, including submitting travel requests and processing post travel reimbursements.
This is a full-time position with the flexibility of a hybrid schedule to allow for one to two days of teleworking in keeping with university, college, and departmental guidelines.
QUALIFICATIONS
Minimum Education Required
High school diploma or GED
Required Qualifications
Minimum 2 years of work-related experience for each of the key duties listed above.
Ability to handle confidential information appropriately. Excellent customer service skills and experience. Ability to demonstrate poise, professionalism, good judgment, confidence, and positive attitude. Able to stay focused, efficient, and effective in managing multiple priorities.
Ability to demonstrate a commitment to diversity and cultural competence; ability to work in a multicultural environment.
Clear, concise, professional writing.
Proficient in key office software programs, including Microsoft Outlook, Word, Excel, PowerPoint, and Zoom.
Experience in a higher education setting/academic environment.
Preferred Qualifications
Associate’s degree or greater.
Minimum 4 years of work-related experience for each of the key duties listed above.
Knowledge of University policies and procedures, including expenditure policies, procurement, and travel; experience with WorkDay.
Experience with data entry and reporting. Experience with routine website maintenance. Experience with Microsoft Teams.

TARGET HIRING RANGE
$20.53 – $27.36 hourly (averages to $42,702 – $56,908 annually)
