Job Description : Position Summary We are looking for an Administrative Assistant to perform a variety of administrative, operational and clerical tasks. Duties of the Administrative Assistant includes managing our company’s general administrative activities by providing support to our managers and employees, assisting in daily office needs, and providing customer service and technical support as well as ensuring proper hand-offs for interdepartmental processes. Administrative Assistant facilitates the efficient coordination of meetings and conferences for the executives, managers, and supervisors and will oversee tracking and managing all tasks in the company’s business management software and holding individuals accountable for proper data entry and procedural compliance. S/he is responsible for auditing and creating reports for department heads, primarily for sales and service and facilitating executive travel, obtaining supplies, various administrative functions, as well as working on special projects and functions.Administrative Key ResponsibilitiesWelcomes and directs visitors and clientsAnswer, screen, and transfers phone callsMaintain filing systems as assignedRetrieve information as requested from records, email, minutes, and other related documents; prepares written summaries of data when neededCoordinate and schedules travel, meetings, and appointments for executives, managers or supervisorsMaintain office supplies and coordinate maintenance of office equipment and related budgetAssist with coordinating office activitiesRespond to and facilitates the resolution of facility management and maintenance issuesMaintain cleanliness of office common areasCoordinate janitorial, pest control services, etc.Submit expense reportsRespond to and resolves administrative inquiries and questionsPerform other related duties as assignedOperational Key ResponsibilitiesOversee interdepartmental communication between operations and other departmentsAssist with project management by creating assignments, tracking progress and resolving issuesFunction as front-line customer support, provide technical assistance when possible, and enter problems and resolutions into ticketing systemAct as a service administrator for all field related activities including scheduling and assigning appointments to technicians, updating tickets, and driving SLA complianceCreate and deliver daily, weekly, monthly and quarterly reports to department heads, including sales performance service auditsFunction as a subject matter expert (SME) for the company’s business management software, ensure accuracy of data entered, identify issues, make recommendations and implement solutionsResponsible for the integrity of customer records, both physical and in software systemsLead the ongoing task of ensuring proper internal systems usage and procedural compliance, primarily among sales and service personnelIdentify training gaps as it pertains to sales and operational personnel and coordinate with department heads on training endeavorsAssist other departments heads on special projects, including Marketing campaigns and Legal tasks, as bandwidth allowsPerform other related duties as assignedQualifications & ExperienceHigh school diploma, GED, or equivalent2+ years’ experience in an administrative roleExcellent verbal and written communication skillsExcellent interpersonal and customer service skillsProficient in Microsoft Office SuiteExcellent organizational skills and attention to detailBasic understanding of clerical procedures and systems such as recordkeeping and filingAbility to work independentlyPhysical RequirementsProlonged periods sitting at a desk and working on a computerMust be able to push, pull and lift up to 20 pounds at timesJob Type: Full-timePay: $19.00 – $24.00 per hourBenefits:401(k)Dental insuranceHealth insurancePaid time offVision insuranceSchedule:8 hour shiftSupplemental Pay:Bonus payApplication Question(s):What is your salary requirement?Are you able to work a 8:30 am – 5 pm shift?Are you comfortable working at the front desk to greet customers and visitors?Education:High school or equivalent (Preferred)Work Location: One location
