Job Description : Job Title: Accounts Payable & Accounts Receivable (AP & AR) SupervisorDepartment: FinanceReports To: AP & AR ManagerFLSA Status: ExemptSUMMARY: Direct and coordinate all accounts payable and accounts receivable daily work.Essential duties and responsibilities include the following: · Hire, supervise, train, assign work, and evaluate accounts payables and receivables personnel using performance management and corrective action tools to ensure effective productivity and customer service· Effectively communicate with a variety of internal and external stakeholders using multiple tools to ensure effective visual communication· Perform similar level or nature of duties as assignedAccounts Receivable:Provide proper coverage if a team member is unavailable for any pointAnalyze reconciliation process to automate processesDelegate duties between bookkeepers in a method to ensure internal controlPrepare income forecast schedule for Daily Cash managementPrepare weekly reports and schedulesReview daily activity of bookkeepers to ensure accurate reconciliation of paymentsReview customer contracts to determine contractual deductionsCommunicate with sales team to gather and apply non-contractual deductions and promotionsCommunicate effectively with internal and external stakeholders providing timely, thorough, and accurate informationActively seek out opportunities for automation, improvement and cost savings in the departmentAccounts Payable:Provide proper coverage if a team member is unavailable for any pointDelegate duties between bookkeepers in a method to ensure internal controlEnsure accurate and timely data entry into the Iris payable and miscellaneous payable systemPrepare weekly payment schedule and submission into bankPrepare weekly reports and schedulesAnalysis and review of General Ledger to ensure all invoices have been received and are coded to the proper account and department.Participate in cost saving initiatives and be proactive in evaluating costsQualifications: Required Education and Experience: Associate’s degree in Accounting or Finance or equivalent years of related experience; and,Two (2) years’ experience in accountingOne (1) year in supervisory roleKnowledge of: Supervisory principlesGenerally Accepted Accounting Principles (GAAP)Basic project managementDeveloping performance measurementsSkilled in: Using computer hardware, including keyboard, mouse, monitor, and related hardwareMicrosoft Access, Word, Excel, Power Point and OutlookUsing payroll systemsPerform intermediate math, using Microsoft Excel to find percentage, average, median, quartile, standard deviation, minimum, maximum, and range valuesAbility to: Analyze and present data and information in a variety of methodsContinuously challenge oneself and others to improve better operating practicesAct with urgencyPrepare reports using a variety of methods from multiple sources of dataReview data and ensuring accuracy and timeliness and relevancyIdentify causation of variancesMulti-task under strict deadlines while having multiple priorities at one timeExhibit positive attitude and openness to learningEffectively communicate and work in a cross-cultural environmentDemonstrate high-level of organization and planningExercise independent motivationApply strategic planning foresightFollow verbal and written English instructionsCommunicate effectively in English, both verbally and writtenExhibit courteous and respectful demeanor towards all company personnel in words and actionExhibit a cooperative, solution-oriented approach to problem-solvingBuild teamwork and resolve conflictsWork independently with minimal supervisionExercise good judgement and maintain a high level of ethical behavior and confidentialityPhysical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Move and operate presentation equipment. Occasional exposure to the manufacturing and distribution plant consisting of moving mechanical parts or heavy machinery, vibrations, fumes, unpleasant odors, dust, poor ventilation, chemicals, extreme temperatures, inadequate lighting, work space restrictions, and moderate to loud noise while in the plant or traveling for work.
