Job Description : Jaros, Baum, and Bolles (JB&B) is a New York City-based engineering firm with offices in Lower Manhattan, Boston and Philadelphia. Our firm works with cutting-edge engineering technologies to facilitate high-performance building designs for ever-improving engineering and sustainability solutions.

We are seeking an Administrative Assistant to support the firms’ operations through proactive calendar maintenance, scheduling, and administrative support of their assigned Partners. The Administrative Assistant will use diplomacy to anticipate and clear conflicts, communicate, and problem solve throughout all day-to-day operations. The ideal candidate will be resourceful, with excellent verbal and written communication skills, a can-do attitude and proficiency in Microsoft Office, particularly Outlook.

Responsibilities

Maintains calendar and orchestrates meeting scheduling (accepting and/or declining and/or rescheduling meetings and sending out meeting) for assigned partners
Handles conference room reservations, including teleconference and video set-up
Proactively and independently organizes and expedites workflow and initiates follow-up when necessary to ensure schedules and deadlines are met.
Coordinates all travel arrangements
Processes expense reports and timesheets

Qualifications

Minimum of 3+ years administrative/executive support experience

Ability to anticipate needs, prioritize responsibilities, manage multiple priorities with tight timelines, and take initiative

Possesses excellent communication, interpersonal, and teamwork skills

Proficiency in MS Word, Excel, PowerPoint and Outlook
Ability to work from office at minimum of 2-3 days per week
