Job Description : Care For the Homeless (CFH) is seeking an Office Administrator/Procurement Associate!SUMMARY: The Facility Administrator/Procurement Associate position is responsible for overall front and back-office activities, including the reception area, mail, large purchasing requests, and facilities. Also, responsible for directing and coordinating office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment. Responsible for arranging internal office moves and providing arrangements for office meetings. All centralized purchasing is the responsibility of the Facility Administrator/Procurement Associate.ESSENTIAL DUTIES AND RESPONSIBILITIES OF A FACILITY ADMINISTRATOR/PROCUREMENT ASSOCIATE: Answer’s telephone, screens and directs calls to appropriate agency personnel.Greets and directs visitors to correct office and/or personnelMaintains the conference room meeting calendar and assists with meeting set-up and clean up as neededAssists with office maintenance needs, placing calls for service when necessaryProcesses all mail for the agency (distribution & end of day postage); receives and distributes all deliveries; track UPS/FedEx/RDS packagesSupervises the maintenance and alteration of office areas and equipment (e.g., kitchen, conferences rooms, copier, fax machine, etc.), as well as layout, arrangement, and housekeeping of office facilitiesResponsible for the facilities’ day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.)Assists with the organization and execution of special events, meetings i.e., ordering and setting up respective refreshmentsEnsures the kitchen and pantry are clean and fully stocked, as well as paper goods for restroomsResponsible for purchasing and maintenance of an adequate stock of office & kitchen suppliesAssists and supports other office staff with their purchases of supplies or equipmentProvides general administrative and clerical support to agency personnel if neededOrganizes and maintains office supplies and filingRemains alert to issues of office security and safety of the facilityOther Duties: Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties, or responsibilities that are required of the employee for this job.
