Job Description : The Executive Assistant to the CFO performs a variety of administrative and office support for the CFO. Extensive software skills, Internet research abilities, strong communication skills, critical thinking and attention to detail are required. Duties include but are not limited to, maintaining the CFO’s calendar, coordinating travel plans, fielding telephone calls, data entry, maintenance of company clients on the CRM system, preparing detailed presentations, customer follow up and filing. Ultimately, a successful Executive Assistant should ensure the efficient and smooth day-to-day events and activities of the CFO.

Responsibilities:
Coordinates CFO’s calendars to ensure required meetings and other CFO’s activities do not conflict.
Collects and maintains the company expense reports.
Prepare internal and external corporate documents for team members and clients.
Set up conference rooms and provide support in preparation of Board meetings.
Participates in executive meetings as needed to take detailed meeting notes.
Provides miscellaneous travel support to the Management team. This support includes hotel, airline, and local transportation arrangements and reservations.
Coordinate company events and provide support to the company’s staff when they travel to attend industry conferences.
Act as greeter to welcome and direct guests and phone calls as needed.
Communicates with clients, as needed.
Communicate with company department heads.
May be requested to perform other administrative or clerical duties in support of the business activities of the Management team.
Maintains an organized filing system of electronic documents including the folders and receipts of the company.
Coordinates with the internal accounting team to make sure employee expense reports are received on a timely basis.
Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
Assisting for office logistics and office relocations. Assisting with onboarding of new employees. Making sure we have all necessary equipment and furniture for new employees.

Skills:
Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software.
Advanced Organizational Skills.
Proficient in collaborating across diverse company departments.

Compensation: $65,000 to $80,000
