Position : Administrative Assistant II-Liquor/Marijuana Licensing

Job Description : Description
Under limited supervision performs general professional and clerical support for the Planning and Development Department for processing liquor and marijuana license applications.
Examples of Duties
Essential Job Functions

Performs customer service and reception duties for liquor and marijuana licensing; provides general information as well as responds to specific customer questions requiring additional research; routes inquires appropriately and takes messages.
Maintains office filing systems, files and records; assembles information upon request.
Scans and enters various information into databases.
Receives, sorts, distributes and processes incoming or outgoing mail for liquor and marijuana licensing.
Coordinates schedules and makes arrangements for training, meetings, events, tests and/or similar activities for liquor and marijuana licensing.
Orders, maintains and distributes office supplies and/or equipment for liquor and marijuana licensing.
Prepares standardized and original documents and forms; composes original letters and written responses upon request.
Prepares written articles for newsletters’; prepares bulletins, brochures, publications and various materials for liquor and marijuana license application programs.
Processes purchase orders, invoices, vouchers, purchasing cards, fuel cards, personnel requisitions and maintenance requests for liquor and marijuana licensing.
Prepares information including binding, stapling and copying; distributes packets to appropriate persons including mass mailings.
Prepares and distributes Liquor and Marijuana Licensing Board meeting agendas and related materials; takes, tapes, transcribes and distributes meeting minutes.
Prepares and processes personnel forms in coordination with Human Resources.
Performs other duties as appropriate or necessary for performance of the job.
Prepares and posts agendas for the Liquor and Marijuana Licensing Board (LMLB).
Processes administrative approval of certain applications for liquor and marijuana.
Collects operator and license fees.
Prepares licenses for the LMLB Chair to sign.
Obtains Findings and Order signature by LMLB Chair
Serves as direct contact with LMLB
Attends all Liquor and Marijuana Licensing Board meetings.

Additional Responsibilities

Develop and maintain office procedures, routines and filing systems to ensure daily objectives and operation for liquor and marijuana are performed efficiently.

General Requirements

Fills in for other staff as necessary and/or required.
Attends meetings, classes and trainings as required or requested by supervisor.
Encouraged to recommend changes to improve procedures that would result in efficiencies, cost savings and safety.
Communicates actively, clearly and regularly with supervisor and co-workers on all work-related topics.
Understands, observes and complies with all Governmental, Pueblo County and Departmental policies, procedures and protocols when performing job duties.

Establishes and maintains effective working relationships with Pueblo County employees from same or different departments/offices, entities and customers.

Effectively deals with stressful situations.
Easily adapts to sudden and unexpected changes in work assignments.

Typical Qualifications
Knowledge, Skills and Abilities
Basic Proficiency:

Performs duties independently without close supervision.

Full Proficiency:

Ability to operate standard office equipment, computers, computer software, calculators, printers, copiers, scanners and facsimile machines.
Modern office practices and procedures.
Follows verbal and written instructions.
Provides professional customer service to clients and public.
Maintains sensitive and confidential information.
Knowledge of accounting calculations including interest, percentage, decimals and fractions.
Routine software and business applications including, but not limited to, word processing, spreadsheets, presentation software and databases.
Computer skills including proficiency with Microsoft Office Software to include Excel, Word, Outlook, and PowerPoint.

Requirements

Education:
High School Diploma or GED equivalency required.

Experience:
Minimum of five years of clerical experience required.

Licenses and/or Certificates: Valid driver’s license at the time of application and a valid Colorado driver’s license at time of hire.

Notary Public Certificate preferred.

Special Requirements: Must successfully pass background check.
