We have an exciting opportunity to add a professional, detail-oriented, proactive, collaborative, and computer savvy Administrative Assistant to join our team. This position is located at our beautiful corporate headquarters in Greeley, CO!
Who are we?
The National Board of Chiropractic Examiners (NBCE) is the international testing agency for the chiropractic profession. The NBCE develops, administers, and scores standardized exams that assess knowledge, higher-level cognitive abilities, and problem-solving in various basic science and clinical science subjects.
What do we do?
NBCE exams offer assurance to the general public that a chiropractor, regardless of where he or she went to school or was licensed, has demonstrated a baseline of knowledge as well as ability in diagnosis, diagnostic imaging, principles of chiropractic, associated clinical sciences, and chiropractic practice.
Candidates typically take NBCE exams before graduating from chiropractic college. Exam scores are made available to licensing authorities within and outside the United States. In the U.S., all 50 states either accept or require candidates to pass Parts I, II, III, and IV for licensure.
ROLE SUMMARY:
The Administrative Assistant provides support for the Vice President (VP) of Testing, as well as back up support for the Department Staff. This person serves as a professional and personable liaison with many internal and external contacts, such as state board members or college administrators and their staff, in order to facilitate and organize NBCE events or activities in which they might be involved.
OVERVIEW OF ESSENTIAL FUNCTIONS:
Generate drafts of and send/receive final copies of email correspondence and hard copy letters on behalf of the Testing Department.
Create tables, charts, and graphic reports, as instructed. Assist in the production and/or copying of publications and audio-visual materials, as instructed.
Assist in planning and organizing projects; prepare and distribute necessary follow-up materials.
Develop and maintain accurate and detailed records/files for departmental projects. Ensure files for storage are clearly identified and boxed, and create and update lists of all records that are removed from the Testing Department for storage.
Assist the VP and Testing Department managers with the preparation of board reports, as requested.
Committee Meetings
Prepare correspondence, records, and reports for test committees, moderator meetings, and post-exam review meetings, and communicate results of post exam reviews to the Psychometrics department. Assemble required support materials.
Coordinate state board nominations for Part IV administrations with Chief Examiners. Maintain records of continuing education credits for OICs, Patient Trainers, Chief Examiners, and Examiners. Send out CEU credit letters following each Part IV administration.
Submit for completion and return to NBCE all necessary forms from all test committee members and subject specialists who work on Testing Department projects. Track and review the forms, and forward them to appropriate staff for approval and payment.
Coordinate catering, travel arrangements, and hotel accommodations for test committee members.
National Exams
Produce reviewer packets of materials for post exam review committee meetings.
Coordinate the schedule for destruction of confidential documents, files, test booklets, records, and other materials with the VP of Testing.
Ensure files for storage are clearly identified and boxed. Create and update lists of all records that are removed from the Testing Department for storage.
State and Specialty Exams
Communicate with and update state boards regarding progress of test production, and notify them of any assistance needed from them in the development process. Be aware regarding the production schedule of exams and ensure all deadlines are being met.
Assist with scheduling and organizing remote item reviews; send invitations, collect appropriate signed agreements and/or forms, and prepare any other necessary materials prior to meetings.
Subject Specialists and Special Projects
Work on special projects, as assigned.
Maintain updated lists of college, state board, and specialty board contacts.
Maintain updated test plans for all state and specialty board exams that the NBCE develops and administers.

SKILLS, EDUCATION, AND EXPERIENCE:
Knowledge, Skills, & Abilities
Excellent oral and written communication skills, organizational skills, and flexibility regarding changes in schedules, time frames, procedures, and other assigned tasks.
Strong working knowledge of and skills in word processing and data management software.
Professional business grammatical and compositional abilities.
Detail-oriented and the ability to work under the pressure of deadlines.
Education, Formal Training, & Experience
College degree, or equivalent training, education, and/or experience, preferred.
Five years in a professional administrative position preferred with demonstrated general business office experience involving business writing, communications, organization, and document management.

Hiring Compensation Range: $ 23.81 – $28.57 per hour based on qualifications and experience.
