Job Description : We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. If you have previous experience as a Secretary or Executive Administrative Assistant and familiarity within our industry, we’d like to meet you. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.ResponsibilitiesAnswer and direct phone callsOrganize and schedule appointmentsPlan meetings and take detailed minutesManage incoming and outgoing emails, correspondence memos, letters, faxes and formsPreparation of monthly reportsDevelop and maintain a digital filing systemOrder office supplies and research new deals and suppliersMaintain contact listsBook travel arrangementsSubmit and reconcile expense reportsProvide general support to visitorsGeneral HR duties such as: onboarding and offboarding employees, running payroll and interview schedulingDraft documents and meeting notes for executivesPrepare and organize office eventsBasic level bookkeeping and budgetingProcess client paymentsPeriodic client work as neededAct as the point of contact for internal and external clientsLiaise with executive to handle requests and queries from senior managersSkillsProven experience as an administrative assistant or office admin assistantKnowledge of office management systems and proceduresWorking knowledge of office equipment, like printers and fax machinesProficiency in MS Office (MS Excel and MS PowerPoint, in particular)Strong time management skills and the ability to prioritize workExcellent attention to detail and problem solving skillsProficient written and verbal communication skillsStrong organizational skills with the ability to multi-taskAbility to maintain confidentialityHigh School degree; additional qualification as an Administrative assistant or Secretary will be a plusJob Type: Full-timePay: $16.82 – $23.00 per hourBenefits:Paid time offSchedule:Monday to FridayEducation:High school or equivalent (Preferred)Experience:Microsoft Office (Outlook, Word, etc.): 1 year (Required)Administrative Experience: 2 years (Preferred)Work Location: One location
