Job Description : JOB TITLE: Business Office / Medical Records CoordinatorREPORTS TO: Sr Business Office Manager, Director of Nursing, CEO/AdministratorJOB SUMMARY: The Medical Records Coordinator provides exceptional support to business office operations and customer service when receiving guests at the center. This position is multifocal with involvement in many business functions. Primary function is the overseeing of Medical Records.JOB RESPONSIBILITIES AND DUTIES: Essential Job Responsibilities with demonstrated competency· Possess ability to work with all members of the health care team.· Demonstrate high ability to interact with customers with friendly, efficient and professional conduct.· Possess knowledge and is skillful in effective communication.· Demonstrate high level of organizational skills and attention to detail.· Demonstrate abilities to perform independently with minimal supervision.Technical Skills General Business Operations with Abilities, Skill, Knowledge required for success in the work environment: · Conducts concurrent chart audit process for chart completion before final filing.· Monitors chart completion and identifies delinquent charts.· Follows up to assist, ensure charts are completed.· Prints documents from on-line systems — H&Ps, dictated Operative Reports, etc.· Tracks needed documents — dictated Operative Reports, Pathology Reports, Lab Reports, and enters receipt of documents into patient accounting system (HST).· Follows up with the billing office regarding documents needed for submission of claims.· Follows up directly with physicians regarding needed signatures, needed documentation.· Scans and uploads documents into the patient accounting system — dictated Op Reports, daily Implant Logs, Pathology Reports, Lab Reports, etc.· Reviewed charts are signed, documenting completion.· Completes quality control check on charts to verify accuracy.· Handles / processes medical record requests.· Assists in making surgical packets for physicians’ offices.· Maintains any other necessary forms for business office personnel (chart review sheets, HIPAA forms, etc).· Prints patient chart packets for next DOS and assembles charts.· Maintains friendly and polite phone etiquette and a thorough working knowledge of phone system.· Manages incoming telephone calls and directs to correct team member.· Completes other tasks/projects as assigned.· Functions in the front desk role as needed/assigned.· Scheduling intake information is performed with accuracy when verifying planned surgery & patient information.· Enrolls patient in patient accounting system and initiates a medical record for each patient visit.· Places all necessary forms in patient chart for clinical personnel use to document care.· Patient Registration is performed with accuracy when verifying patient information.· Provides, with instruction, documents requiring patient signatures.· Collects patient co-payments, co-insurance or deductible payments upon admission.· Notifies appropriate staff of patient arrival.Behaviors contributing to professional success in the work environment: Professionalism: · Self awareness of industry preferred.· Knowledge of basic medical terminology· Basic office skills are necessary with a typing speed of 35-40 WPM.· Must possess exceptional communication skills.Language Ability: · Read instructions and interpretation. Effectively communicate information and respond to questions from physicians, peers, managers.Math Ability: Add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.Computer Skills: To perform this job successfully, an individual should have knowledge of basic windows software.Work Environment: This job is designated as a Category II job using OSHA definitions. This means there is no anticipated exposure to blood or potentially infectious materials.Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
