Job Description : Job Summary: Supports Human Resources by assisting with the daily administration of departmental activities that promote maintaining a positive working relationship between all employees and providing assistance and information regarding core HR functions. Serves as the first contact point for employees’ needs.ESSENTIAL FUNCTIONS: Assists with recruiting processes to include job posting, screening, writing/editing job descriptions, background checks, employment verification.Administers onboarding processes for new hires (new hire orientation training, prepares paperwork, business cards/name badges, data entry in personnel system, coordination with ProService).Responds to general questions/requests to provide information regarding employment, HR policies, personnel records, benefits and resolving problemsAssists with employee recognition programs (Spot On awards, annual Values awards and years of service)Develops written materials for the purpose of documenting activities, providing written reference and/or conveying information.Keeps up-to-date on employment and leave regulations for the purpose of ensuring compliance and regulatory requirements.Assists with employee terminations, prepares paperwork, conducts exit interviews as neededProvides benefit information and coordinates enrollment of 401k/Life/LTD/LTC insurance benefits for employees on their anniversaryAssists with annual health insurance open enrollment coordination to include coordination of informational meetings, distribution of paperwork and answering employee questions.Assists to prepare reports such as employee census and other statistical reporting as neededAssists with the quarterly admin staff meetings to prepare presentations and conduct enrichment segmentAssists with tracking employee attendance and PTO, FMLA leave paperwork, TDI, workers compensationAssists with planning and coordination of employee events-admin luncheon, annual picnic, and annual holiday party.Assists with monitoring performance review status and sends reminders to managers as neededData entry for employees and agents in DPNMaintains HR portal content to include loading/updating of documents/photos/videosProcesses employee birthday cards; creates company birthday roster; updates company phone rostersManages personnel files and ensures confidentiality of all informationProvides receptionist coverage during breaks, vacation and/or sick leaveCoordinates a variety of administrative tasks to include daily mail distribution, supply ordering, processingInvoices, managing inventory of movie tickets and parking validation stamps; booking interisland airline reservations for managers as neededManages gift card inventory for agent gifting program – move to sales or marketingMaintains company mailboxes for new or departing staff and agentsManages logo store inventory and ordersOther Duties:Runs errands; picks up suppliesPerforms other related duties as assigned or requiredMental, Physical, and Communication Demands:Requires working under minimal supervision to meet daily deadlines; must be able to solve moderately complex issues and exercise discretion in dealing with confidential and sensitive issues. Requires attention to detail and accuracy. Requires prolonged sitting and computer work with occasional lifting and moving boxes. Requires effective communication with people at all levels of the organization and outside vendors. Ability to maintain a positive and professional attitude. Requires the ability to deal with requests for assistance with patience and tolerance. Ability to problem-solve and exercise good judgment. Ability to handle sensitive situations in a mature and confidential manner.
