You will be asked to complete a typing skills assessment as part of your application.Salary: $43,830/year with generous benefits.Job SummaryThe Secretary A–Field Operations shall be employed by the Executive Director and shall be supervised and evaluated by the Field Operations Support Manager. The Secretary shall perform a variety of complex and responsible secretarial and administrative duties and related work as required. The position requires the ability to work independently, exercising judgment and initiative. This position serves to advance the Association’s mission and strategic goals as well as to support organizing goals at all levels of the Association.Essential Duties and ResponsibilitiesReceives and responds to calls and emails from members regarding general information as well as advocacy and organizing questions.Researches responses related to advocacy and organizing.Analyzes information and resource documents related to advocacy and organizing.Maintains records and documentation for contract compliance for future grievances and/or problems.Maintains and updates basic information to direct members to appropriate agencies (i.e., DOE, VEBA, ERS, EUTF, etc.).Provides clerical and administrative support to the assigned department including, but not limited to, receiving and screening telephone calls and visitors, independently composing written correspondence, screening and sorting mail, reminding the UniServ Directors of deadlines, taking and relaying messages, scheduling meetings, and arranging travel for the UniServ Directors.Prepares business letters, memos, and reports.Produces a variety of materials including bulletins, flyers, charts, spreadsheets, etc.Finalizes and/or composes routine correspondence independently such as requests for materials, simple inquiries from members, etc. Finalizes and/or composes standard correspondence directly related to investigations, arbitrations, and all other contract enforcement materials.Assists UniServ Directors in preparing for executive board and representative assembly and all other repeated monthly meetings. Responsible for reproducing materials, printing agendas, arranging conference rooms, etc.Maintains a log of grievances filed; prepares grievance forms, monitors response dates and deadlines for UniServ Directors, and prepares communications, briefs and other materials for meetings and hearings at all levels.Assists UniServ Directors in preparing for workshops (orientation for new teachers, training sessions for school level leaders, etc.) by arranging for meeting times and places, contacting participants, compiling and preparing necessary materials, etc.Maintains current listings and mailing labels for all school level leaders for all schools in the respective chapters.Participates in training as needed for contract enforcement, IMS program, and all other programs related to field operations.Assumes duties of the other field operations secretary in their absence.Independently responds to written and oral inquiries and handles situations relating to the department’s programs, functions, and activities.Proofreads, edits, fact checks, and verifies accuracy of documents and written communications.Maintains and controls the department’s files and financial records including, but not limited to, purchase orders and expense vouchers.Provides secretarial and ancillary support to UniServ Directors, committees, organizations or groups assigned to the department including, but not limited to, scheduling meetings, making travel arrangements, and processing appropriate purchase orders and expense vouchers.Operates office machines and equipment.Other Duties and ResponsibilitiesAssists with packing of materials for mass distribution.Catalogues and maintains reference materials.Maintains desk manual for each department.Performs other duties as assigned.QualificationsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
