Job Description : ASYMCA of ALASKA Job Title: Volunteer & Program CoordinatorFLSA Status: Non-ExemptStatus: Full Time, PermanentReports to: Branch Director Revision Date: January 2020POSITION SUMMARY: This position supports the work of the Armed Services YMCA, a leading nonprofit committed to strengthening the military community through youth development, healthy living and social responsibility. The ProgramCoordinator’s focus is on managing all aspects of the Volunteer Program. This position also helps manage the daily activities involved in conducting programs and services for military members and their families. Assists with evaluating the need for new programs or services; helps develop and implement new programs and services; coordinates ASYMCA events/services with installation leadership. Works closely with ASYMCA staff, military personnel and their families and local community partners.ESSENTIAL FUNCTIONS: 1. Directs guests to appropriate staff member, addresses program and service inquiries and provides customer service.2. Maintains professional appearance of the welcome center/program space and reception area by wiping surfaces, sweeping floors and executing other tasks as needed.3. Manages the ASYMCA Volunteer Program: recruiting, evaluating, assigning, supporting, records data4. Leads ASYMCA staff team in using management portal to provide opportunities and constant communication with volunteers5. Manages/operates the Military Courtesy Lounges.6. Helps operate established programs, services and special events.7. Corresponds with program participants via e-mail, telephone and in person.8. Sends faxes, makes copies, scans documents, emails and mails documents/correspondence.9. Receives, tracks and records In-Kind and monetary donations.10. Assist Executive Director in sending thank you letters.11. Gathers and maintains program and facility use statistics and reports.12. Registers participants for programs and volunteer opportunities using a cloud based software system.13. Maintains supplies and helps make required purchases to sustain programs, events and services.14. Assists with setting up meetings and helps manage the Program Director’s schedule.15. Represents the ASYMCA during informational fairs and meetings.16. Assists Program Director with developing new programs for our military communities.17. Develops and maintains collaborative relationships with community organizations.18. Must possess high school diploma or equivalent.2. Two years of experience in an administrative support position, coordinating events, programs or services is highly desired.3. Must deliver excellent customer service. Possess excellent phone and interpersonal skills.4. Must possess computer skills and ability to type proficiently.5. Must be proficient with MS Word, Excel, Power Point, and Outlook.6. Must be able to operate standard office equipment including but not limited to copiers, scanners and facsimile machines.7. Basic cash handling experience preferred.8. Possess multi-tasking ability with superb organization and planning skills.9. Must be able to function in various work environments to include but not limited to, office/administrative areas, child care facility, thrift store, indoor and outdoor program spaces.10. Must be able to work with minimal supervision and prioritize work assignments with minimal guidance.11. Must be able to work individually or as part of a team.12. Experience with military lifestyles preferred.13. Work experience with a non-profit organization is preferred.14. Must have a valid driver’s license and clean driving abstract.WORK ENVIRONMENT & PHYSICAL DEMANDS: 1. Primarily an office environment using computer, scanner, fax and copier equipment.2. Sufficient strength, agility and mobility to perform essential functions and to supervise activities in a wide variety of indoor and outdoor locations (depending upon the programs).3. Standing for periods of time while manning informational booths/tables at various resource fairs or functions.4. Must be able to lift 30 pounds.5. Ability to work under pressure. Interacts with Board Members, military personnel, community and philanthropic organizations, staff and volunteers.6.
