The Shareholder Records Assistant works directly under the Shareholder Records Supervisor. This position assists the Supervisor in filing and maintaining shareholder records. The Shareholder Records Assistant deals with updating shareholder information and documentation. This position is considered a point of contact between regions. The successful incumbent is detail-orientated, has excellent time management skills, and is a team player.

Essential Duties & Responsibilities
Computer input of shareholder change of address and/or name.Responsible for legal documents filed to shareholders in reference to shares.Assist shareholders with stock certificates, gift of shares etc.Oversees transfer of stock and obtains all documentation necessary for proper transfer of stock by court order, inheritance, and gifting. Transfers stock on computer following legal review and board approval.Obtains necessary information and adds new shareholders to computer.Prepares dividends escrow earnings for reconciliation of shares prior to stock transfers.Updates shareholder transfer forms.Regarding the Annual Shareholders’ Meeting: oversees production and mailing of proxy statement, notice of annual meeting, annual report, election and proxy ballots, prepares voter registration handbook, and voting procedures according to the corporate bylaws. Also oversees voter registration for annual meeting.Regarding village Shareholder annual meetings (usually scheduled in January for election of shareholder committees): responsible for providing village registration books and proxies for elections. Elections are held every three years per village. Also responsible for nomination period in January for Board of Directors according to corporate bylaws.Assist in preparation of meetings relating to shareholders including: Youth and Elders Conference, Annual Shareholders’ Meeting, and other meetings as requested.Notify supervisor when records/files need to be removed from the file room and into the archives.Creating and implementing an incoming and outgoing process for records/files.Follow and implement record retention plan.Maintain and update all ongoing project records/files.Notify supervisor of any problems or needed changes in the filing system.Verify record/file information for employees/supervisor.File Ahtna lnc.’s shareholder records/files.Other duties as assigned by supervisor or department manager.
Qualification Requirements
High School Diploma or equivalentIntermediate level of expertise with Microsoft Outlook, Word, Excel, PowerPointA minimum of two (2) years of progressively responsible administrative experience that demonstrates the ability to meet core competency requirementsA minimum of two (2) year’s experience in Corporate Affairs or Shareholder RecordsMust be able to pass a drug screening.

ANSCA stock transfer experienceExperience and knowledge of Alaska Native cultures

Work Environment
Work is performed in an office setting with ability to speak and receive phone communications often. Work requires computer usage with strength, dexterity, coordination and visual acuity to use keyboard and video display terminal and other office equipment. Moderate travel required to shareholder communities, subsidiary offices and other locations as needed.
