Position : Administrative Assistant
Job Description : Providing administrative support to Synergos Executive Team (CEO, COO, Vice Presidents) and other staff as necessary. Including, but not limited to:
Welcoming/greeting all visitors.
Answering all incoming telephone calls.
Proactively organizing Outlook calendars and all meeting scheduling.
Attending meetings (as directed) to record minutes.
Communicating and tracking meeting follow-up items to ensure resolution.
Creating professional Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents as needed.
Preparing and processing monthly expense reports.
Coordinating meetings (in-person and virtual) on and off site. Including, but not limited to:
Tracking/maintaining scheduling correspondence.
Researching and booking event site reservations.
Arranging travel accommodations (international and domestic) including flights, hotel reservations, and car rentals.
Placing catering orders.
Participating in the Synergos Culture Club and assisting in event planning and execution.
Attending to physical office maintenance. Including, but not limited to:
Daily clean-up chores.
Scheduling building maintenance as needed (e.g. light repair, painting, etc.).
Purchasing office and breakroom supplies.
Organizing office and breakroom supplies
Managing journal subscriptions, affiliations and conference calendar.
Job Types: Full-time, Temporary
Pay: $25.00 – $32.00 per hour
Schedule:
8 hour shift
Experience:
Administrative Assistants & Receptionists: 1 year (Required)
Microsoft Powerpoint: 1 year (Required)
Microsoft Excel: 1 year (Required)
Work Location: One location
