Job Description : Administrative Assistant – Global Hedge Fund – Salary + OT + Bonus
Our client, a Global Investment Management firm is seeking an Administrative Assistant to support their Credit Team in their new Dallas – Uptown office. You will be essential in ensuring the team’s work flows seamlessly by managing their calendars, business meetings, travel itineraries, and projects.
They are looking for an upbeat, experienced professional who is a true team player as this role works closely with the Executive Assistant and other Admins in the office. Hours: 8am-5pm, plus overtime and flexibility to be available when executives are traveling as required
Responsibilities:
· Support team in an open floor plan environment
· Manage complex, often changing calendars in Outlook and schedule internal and external meetings; book conference rooms, enter visitors into security system and order food if required
· Prepare for meetings with phone conferences/video calls (with IT support), provide printouts copies/meeting materials for attendees
· Book business travel (domestic and international) needs and provide detailed itineraries of travel plans
· Prepare expense reports via Concur
· Answer all of incoming calls and take detailed messages as required
· Manage and maintain Excel documents (project roadmaps/schedule)
· Proofread presentations for spelling and formatting issues
· Manage team time/collecting basic data for meetings/budgets
· Provide back-up support to the EA
· Additional projects and responsibilities as assigned
Required Skills and Experience:
· 3-7 years’ experience supporting a team in a corporate setting; a bachelor’s degree is preferred
· Excellent communication skills
· Must have excellent knowledge of MS Office; including Word, Excel, Outlook and PowerPoint
· Ability to work overtime
· Must be able to maintain the utmost level of discretion and confidentiality
· Must have a team player mentality and superb organization skills
· Demonstrated ability to respond to unexpected and urgent matters with professionalism and poise
· Excellent multi-tasking skills and detail orientation and the ability to take direction and constructive feedback
· Unquestionable integrity and outstanding judgement
Job Type: Full-time
Pay: $65,000.00 – $80,000.00 per year
