About the department
Global Business Services (GBS) Finance Bangalore was established in 2007, is currently responsible for supporting Accounting, Finance & Procurement, Financial Planning & Analytics for Head Quarters at Denmark, Region Europe, North America, International Operations & Global Service Centre Bangalore. The main purpose of our existence is to provide superior service to our stakeholders consistently and add value to the processes in terms of standardisation and efficiency.
The position
As a Department Co-ordinator you will be required to coordinate all administrative activities for Finance GBS, support the executive assistance to VP, Finance GBS with management and offsite meetings. The job would involve calendar management for VP and other management members.
You will be required to co-ordinate internally within Finance GBS unit on all Admin tasks including travel and transport, with Admin for events and facility arrangement and with Procurement for new IT equipment, office stationery etc.
You will be required to be proactive in booking conference rooms, department meetings, making necessary arrangements for visitors. Adherence to invoice processing, R&R inputs to be shared in a timely manner. While performing the above-mentioned activities, you will be required to maintain confidentiality and discretion of correspondence/ sensitive information.
You will be responsible for checking out overseas travel plans of employees and helping them in completing visa formalities including obtaining invitation letters. Guide employees on Concur and work on travel and accommodation booking
In this role, you will be reporting to the Director Digital Excellence and Communications, and the position is based in Novo Nordisk Global Business Services, Bangalore
Your qualifications
You have a bachelor’s degree with min 4 years of prior experience in Administrative areas or a coordinator
You have a natural ability to engage your stakeholders.
Your structured way of working and general overview enables you to handle several tasks at the same time while keeping an ongoing focus on results.
Independence, cross-cultural understanding, and fluency in written and spoken English are essential.
