Job Description : Overview:

We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations or travel arrangements, and generally being a helpful and positive presence in the workplace. Candidates should be professional, polite, and attentive while also being accurate. You should always be prepared and responsive, willing to meet each challenge directly. Must be comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, Office Assistants should have a genuine desire to meet the needs of others.
Responsibilities:
General administrative support to local leadership team (approvals, expenses, document support etc).
General office management, responsible for facility management and vendor management (facility related).
Booking of travel and accommodation requirements for business needs.
Maintain a safe and presentable office environment for all staff and visitors to the company.
Assistancing HR, IT and other departments as and when needed.
Ensure office/ group related records are up to date and that all administration processes work effectively.
Recording office expenditure and managing the budget.
Performs administrative and office support activities (eg. Events etc.) for multiple supervisors.
Serves as the go-to for office inquiries.
Prepares reports, presentations, memorandums, proposals and correspondence.
Sort and distribute communications in a timely manner.
Create and update records ensuring accuracy and validity of information.
Responsible for office adhering to company security, Health & Safety and other policies and procedures.
Exercises sound judgment and escalates issues appropriately.
Qualifications:
8 – 10 years of office management experience.
Preferred: Graduate Degree.
Other Requirements:
Excellent oral, written communication & interpersonal skills.
Detail oriented and works with a high degree of accuracy.
Excellent organizational and time management skills.
Thorough understanding of office management procedures.
Analytical abilities and aptitude in problem-solving.
Proficiency in MS Office (Mails, Excel, Powerpoint).
Highly organized and flexible.
Ability to multitask and meet changing deadlines.
Ability to work well with all levels of internal management and staff, outside clients and vendors.
Must be self-directed and able to complete projects with limited supervision.
Maintains staff confidentiality.
