Job Description : Accounts Payable/Payroll Clerk
Position Description
Provide daily support to the Accounting department with accounting tasks. Heavy emphasis on AP invoice data entry at receipt of invoice through payment. Coordination of distribution of invoices in Colorado Springs and other offices to obtain appropriate approvals, coding and return of invoices. Activities also include assisting the HR Department with weekly payroll processing.
Top Five Responsibilities
Quick, efficient, accurate invoice entry and processing of accounts payable
Diligence with regard to payment policy (pay when paid, no commitment issues, etc)
Good communication with PM’s, PA’s, and vendors for smooth invoice processing and resolving invoice issues
Keep current on reportable tax tracking and rules
Provide assistance to HR with timesheet preparation and weekly payroll bookkeeping tasks.
Accounts Payable
Data entry of 200+ invoices per week
Test invoices for mathematical accuracy
Distribute and obtain approval for vendor and subcontractor invoices
Review invoice coding for reasonableness
Investigate vendor and subcontractor invoices, as requested
Respond to inquiries regarding vendor and subcontractor invoices
Respond to inquiries regarding supplier invoices and materials and equipment job cost charges
Vendor statement reconciliation
Scan miscellaneous invoices into system and attach to payments in AP
Obtain W-9 and input for applicable vendors and subcontractors
Assist with locating and resolving pending, unapproved invoices
Track reportable Sales, Use, and RTD Tax invoices and assist with filing returns
Upload and process credit card statements monthly
Clear signed and returned vendor and supplier lien waivers
Payroll
Collect timesheets for weekly and bi-weekly payroll checks
Verify accuracy of timesheet data
Verify employees’ work hours and ensuring proper coding of time
Upload weekly H.S.A. contribution files
Enter manual checks for payroll taxes, H.S.A payments, garnishments, etc.
Hourly Range $22 – $26/hourly
