Position Purpose
Executive assistant for Head of department of Global Markets IT
Direct Responsibilities
Act as the point of contact between the HOD and internal/external stakeholders
Maintain diary, arrange meetings and appointments and provide reminder
Make travel arrangements
Book Conference & Meeting room based on directions form HOD
Monitor department office supplies
Monitor seating for Department
Coordinate admin related activities during Senior Management Visit to ISPL
Contributing Responsibilities
Act as the point of contact between the HOD and internal/external stakeholders
Handle requests and queries appropriatelyMaintain diary, arrange meetings and appointments and provide remindersMake travel arrangementsBook Conference & Meeting room based on directions form HODMonitor department office suppliesMonitor seating for DepartmentWork with Business Management team to facilitate correct tracking of HCMonitor mandatory/Non Mandatory compliance and other L&D related training and send out timely reminders to associatesTrack monthly timesheet for department and escalate whenever necessaryMonitor Organizational Units for Global Markets ITCoordinate with various team Admin, REFOG and OthersCoordinate admin related activities during Senior Management Visit to ISPLAbility to multitask and prioritize daily workloadHigh level verbal and written communications skillsDiscretion and confidentialityGood knowledge of MS OfficeProficiency in EnglishExemplary planning and time management skillsProduce reports, presentations and briefs as necessaryDevelop and carry out an efficient documentation and filing system
