Job Summary

Provides administrative and office support assistance to the overall administration of the College of Engineering Dean’s Office, Academic Affairs, and CLEAR Program. Manages Dean’s Office lobby area. Greets and directs all visitors.

Responsibilities
1. Strong customer relations
2. Answers telephones and gives information to callers, takes messages, or transfers calls to appropriate individuals
3. Greets visitors and communicates with customers, employees, and other individuals to answer questions, and address complaints
4. Provides information to customers regarding parking and transit options
5. Purchase and maintain office supplies for department
6. Prepares and processes travel documents
7. Assists with Scholarship Management System, this may include, awarding scholarships, tracking student disbursements, and data entry
8. Manages petty cash and processes departmental deposits
9. Telephone set-up, transfers, and oversight, including maintaining directory
10. Coordinate copier maintenance and access
11. Key inventory, processing, and building access
12. Orders business cards
13. Coordinates staff service and top 15% teaching awards
14. Provides oversight of driver training requirements
15. Assist with managing web content and website related projects
16. Issues Dean’s Honor list notices
17. Maintains course evaluation records
18. Schedule and coordinate meetings, maintain conference room and gallery schedules, cleans and sets up rooms if needed
19. Provides administrative support to the CLEAR Program, including conference room and equipment reservations, maintaining video records for ABET, and filing of student projects
20. Assists with event planning and set-up, including the annual scholarship banquet, convocation, graduate recruiting, outreach activities, and holiday events.
21. Coordinates office morale activities
22. Distributes mail and provides support for college mailing projects, including updating contact list annually
Problem Solving
Incumbents in this position are expected to be familiar with the department’s policies and procedures and have working knowledge of University and department organizations and procedures in order to answer and assist staff and visitors. Incumbents are also expected to demonstrate sensitivity to others’ needs while being understanding and helpful on the job.

Minimum Qualifications
Associate’s degree in a related field, or equivalency, plus two years of related experience required; ability to use logic and reasoning to prioritize tasks; computer skills including word processing, spreadsheet software, and/or database software preferred; demonstrated human relation and effective communication skills also required.

Bachelor’s degree in a related field may be preferred.
