Job Description : Job Title: Executive Assistant, Office of the PresidentDepartment: Office of the President/CEOReports To: Chief of StaffFLSA Status: Exempt, Full TimeOrganizationThe Apollo is a commissioner and presenter; catalyst for new artists, audiences, and creative workforce; and partner in the projection of the African American narrative and its role in the development of American and global culture.Position Summary The Executive Assistant manages all administrative functions of the Office of the President, supporting the President and the Chief of Staff of the Apollo Theater Foundation. This position reports to and works closely with the Chief of Staff to support all areas of the President’s professional life, as well as facilitates and executes initiatives and special projects led by the Office of the President.To be successful in this role, he/she is expected to be highly professional, poised, and confident, with excellent verbal and written communication skills. He/she is expected to demonstrate a high level of integrity, maturity and emotional intelligence, sound judgment, diplomacy and appropriate discretion.The position reports to and is directly supervised by the Chief of Staff.Essential Duties and Responsibilities Calendar ManagementMaintain and monitor the President’s calendar, as well as special projects calendar as directed by the Chief of Staff, including scheduling, coordinating, setting up, and hosting meetings as required. These meetings include both in person and virtual; internal and external.Assess and fulfill in-person meeting needs including catering and hospitality, Communications and coordination with all parties involvedOffice ManagementAs the administrative “gatekeeper” of the Office of the President, organize the Executive Office including filing, archiving, and maintaining recordsUpdate and maintain the President’s global contact records in OutlookDraft, edit, and proofread outgoing letters from the Office of the PresidentPrepare departmental expense reports, reimbursements, and reconciliationsManage the President’s travel arrangements. Anticipate, plan, and coordinate all travel needsOther duties include but not limited to monitoring and fulfilling office supply needs, fulfilling President’s Office hospitality needs, as well as maintaining incoming & outgoing mailMarketing & Communications SupportWorking with Communications Department and outside PR counsel, facilitate and support the President’s PR and social media activities, including scheduling and preparing the President for press opportunities and speaking engagementsDevelopment SupportWorking closely with the Chief Development Officer, schedule and facilitate Board and Board Executive Committee meetings and take a front-line role in preparing materials for these meetings; take meeting minutes, draft and circulate for approvalWorking with Development Department, schedule donor meetings and events and ensure that the President is properly preparedSupport special initiatives and projects led by the Office of the PresidentQualificationsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The position requires at least five years of related experience supporting senior executives.
