Job Description : General PurposeCompensation will vary depending on qualifications and experience. Performs a variety of duties as required to assure students have a positive experience of the college relating to enrollment, scheduling, and withdrawal. Additionally, works to ensure the highest level possible of data integrity. Provides exceptional service to customers, including maintaining a professional and positive demeanor at all times.Job FocusServes as primary point-of-contact for students seeking services including registration, scheduling, assessment, withdrawal, applications for graduation, making payments, and general informationUnderstands complicated scheduling processes for each college program.Assists students in filing withdrawal and records requests from students and external parties in compliance with Family Education Rights and Privacy Act.Answers general questions about college programs and services in person and on the telephone in lieu of recruiters and advisors.Greets individuals checking in for services and provides the necessary service or directs them appropriately; assists individuals in gaining priority access to other staff as appropriate for urgent intervention.Serves as telephone operator/receptionist for Student Services Department; receives, screens, answers questions and/or forwards calls as appropriate.Troubleshoots student registration problems by phone or in person; checks schedules and data not appearing on roll/record; initiates records change forms as appropriate. Assists students with obtaining copies of schedules/progress reports or other records.Remains current on Student policies and procedures as well as program specific information.Update students’ demographics and change passwords.Manage own cash drawer, including taking payments, issuing refunds, and balancing at end of day.Operates computer to perform various secretarial duties, type letters, memos, correspondence, spreadsheets, desktop publishing, and special projects.Assists teachers with information needed by phone, email or in person.Responsible for accurate data entry of student information.Works with students that need work related schedule changes, this may include removing partial schedule, fixing attendance, or scheduling week by week for a rotating schedule.Scanning and indexing for own work as well as scanning and indexing for other departments that do not have access to DocuWare.Mentors and helps train new hires.Works with external entities as required for funding through Department of Workforce Services, Vocational Rehabilitation, etc.Maintains foundational knowledge of financial aid and scholarships processes to facilitate “one-stop shop” service.Manage capacities for classrooms.Process corrections for students, from instructor, sponsors, and counselors. This may include changing or backdating schedules, including fixing attendance.Process alternate documentation or no course sign-off forms, to give students Davis Tech credit.Merge duplicate accounts in Salesforce and NorthStar.Perform other related duties as required.Minimum QualificationsEDUCATION: *Requires a high school diploma or equivalent.EDUCATION: Requires a high school diploma or equivalent.EXPERIENCE: One years’ experience in Student Services, customer service, related industry or equivalent experience.KNOWLEDGE, SKILLS, AND ABILITIES: Ability to work effectively in a diverse, fast-paced environment that involves constant customer contact and varying tasks throughout the day.Ability to work effectively as a team and independently with minimal supervision.Working knowledge of general office procedures and practices, electronic and paper filling systems, telephone and computer etiquette.Proficient skills with computer applications such as Word and Excel, basic computerized bookkeeping, basic mathematics, and utilization of various types of office equipment.Proven verbal and written communication competencyCustomer service skillsAbility to work independently while managing work assignments in a highly interpersonal contact environment.Must be able to multi-task and meet time restraints.Strong critical thinking and troubleshooting skills, attention to detail, commitment to accuracy and organization, maintain a professional demeanor.Ability to deal with confidential information.Demonstrated ability to meet requirements for proctoring assessments such as pass exams and have no conflict of interests, program certifications, and various industry-based exams.**PHYSICAL REQUIREMENTS: Generally light office workAbility to perform repetitive movements with hands, sitting, standing, walking short distances frequentlyProcess/ApplicationThe College reports all positions to the Department of Work Force Services and posts all positions on the website: www.davistech.edu/hr.
