Job Description : Under the supervision of the Vice President of Oncology, the Director of Operations (“Director”) provides leadership, guidance, and mentorship to the clinic and patient care coordination teams. The Director will maintain and monitor operational safety and regulatory compliance within the practice. He/she will create a collaborative and efficient workplace with attention to quality standards, policies, and processes.Essential Functions: Manage daily operations at clinic sites and coordinates work activities to ensure teams are appropriately staffed each day.Ensure office spaces, supplies, and equipment are provided and maintained appropriately for medical staff and patient care.Schedule staff and allocate resources across hours of operation to maximize patient access and satisfaction, provider productivity and efficiency, staff productivity, cost-savings, and operational efficiencies.Manage the clinic front-line non-exempt staff, nurses, extended clinical teams, and back-office teams requiring interviewing, hiring, training, progressive discipline, dismissals, performance appraisals, and employee relations.Address patient concerns in a timely, professional manner.Report monthly productivity results to senior management or as needed. Communicate effectively with senior management and physicians providing regular updates on operations.Ensure accuracy of all data collection and data entry by site staff through training and compliance monitoring and facilitate and oversee flow of information to and from Business Office.Conduct timely and accurate cash management duties, including overseeing the collection of co-pays and patient balances and processing of clean super bill batches in order to influence profitability.In collaboration with providers, nurses, and administrative leaders, develops plans to ensure maximum utilization of resources and efficient delivery of services, including allocation of clinic space and other resources; resolves clinic and patient issues to ensure quality of care and patient satisfaction; establishes and manages provider templates in compliance with current policies; manages patient scheduling operations. Assists with review of workflows and best practices in clinic; maintains ongoing dialogue with leadership to resolve issues and concerns.Oversee implementation and compliance to clinic policies and procedures; may develop proposals for administrative structures, processes, space, equipment, and staffing.Oversight of direct nursing care and documentation, staff hiring, training, onboarding, coaching, mentoring, and providing support as needed.Maintains a cooperative relationship among teams by communicating information via weekly huddles; responding to requests; building rapport; and participating in team problem-solving methods as a vehicle to build culture and accountability.Ensures the safe handling of chemotherapy/immunotherapy medications and infectious material(s), ensuring patient and staff safety at all times.Manages the fiscal and clinical operations of assigned area(s) of responsibility and recommends sufficient number of qualified competent persons to provide care.Maintains communication with clinical teams, administration, patients, and families. Coordinates and integrates services within departments.Develops and implements policies and procedures that guide and support provision of services.Assures staff competency in their respective areas/departments.Conducts ongoing assessment and improvement of responsible departments’ performance. Oversees and drives performance in quality metrics, patient safety, and clinical excellence initiatives.Promotes and monitors compliance with requirements and standards established by accrediting or licensing agencies, regulatory agencies and state or federal law relevant to areas of responsibility.Maintains safe and clean working environment by designing and implementing procedures, rules, regulations, and monitoring.Maintains patient confidence and protects operations by monitoring confidential information processing.Maintains documentation of patient care services by auditing patient and department records.Ensures operation of medical and administrative equipment by verifying emergency equipment availability; completing preventive maintenance requirements; following manufacturer’s instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.Oversees operations of laboratory and ensure compliance with regulations.Maintains medical and office supplies inventory by studying usage reports; identifying trends; anticipating needed supplies; approving requisitions and cost allocations.Secondary Responsibilities: Performs special projects as assigned.Maintains excellent public relations by interacting with patients, visitors, physicians, and other staff members in a friendly and professional manner.Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.Work closely with the Vice President of Finance on budgeting, opening/moving new practices, standard operating procedures, consulting engagements, and other special project as assigned.Prepares agenda items and departmental updates for scheduled leadership and/or ad hoc strategy meetings.Maintains confidentiality of all information; adheres to all HIPAA guidelines/regulations.Ability to come to work and work the regular schedule and shift for the position.Ability to safely and successfully perform essential job functions consistent with federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.Ability to maintain reasonably regular, punctual attendance consistent with federal, state and local standards and company attendance policies and procedures.Compliance with all personnel, operating, and financial policies and procedures.Additional duties to be assigned from time to time.Supervisory Responsibilities: Direct supervision of the following departments and staff: Office Managers, Nursing, Triage, Medical Assistants, Scheduling, Patient Access, Medical Records, Cancer Center Support Services (Care Coordinator, etc.), Transcription, and Chart PrepQualifications: Education and/or Experience Bachelor’s degree, Master’s degree preferredRegistered Nurse (RN) or Nurse Practitioner (NP) preferredOncology Nurse Practitioner (NP) or Nurse with leadership experience preferredMinimum 5 years progressive experience in health care management in a highly collaborative environment. Oncology experience preferred.Minimum 5 years progressive experience in managing stakeholder relations, preferably for a health charity or health care systemCertificates, Licenses, Registrations None required.Computer Skills To perform this job successfully, an individual should have a strong knowledge of Microsoft Office Applications, and the ability to operate basic Internet software. The individual should be able to operate a computer in order to accurately enter data into a database, search for information, send and receive email and attachments.
