Job Description : SKILLS AND ATTRIBUTES Experience working with high-level executives and managing highly sensitive, confidential information with complete discretion Critical thinker; excellent judgment with ability to appropriately balance independent work with seeking guidance Sense of urgency; ability to work in a fast-paced, dynamic environment and flexible attitude when responding to changes Self-motivated; proactively identify areas for improvement to better streamline team work flow Excellent verbal and written communication skills; presents ideas clearly and concisely Team player capable of working in a way that reflects the Firm’s core values and principles (high integrity, apolitical, non-arrogant, commitment to excellence, treating others with respect)ESSENTIAL FUNCTIONSCommunication and Information Management Monitor heavy and fluctuating calendar, high volume of calls, e-mails, and flow of communication Compose, draft, proof, edit, and finalize correspondence including e-mail and other documents Review incoming mail and/or email, prioritize and summarize content, and process replies on owninitiative or from executive’s notes and directives Screen all calls for executive and handle all inquiries within capacity Track Executives’ fundraising meetings, as well as necessary follow up in the proprietary investordatabase/CRM. Update CRM with all relevant information regarding investors/LP’s and prospects.Planning Handle planning logistics for complex domestic and international trips using the Firm’s contracted travelagency; provide detailed itineraries, agendas, directions, and backup materials Prepare expense reports in timely manner ensuring accuracy and submit in accordance with Firm policy Monitor executive’s calendars and anticipate where problems might arise regarding calendar, meeting preparation, needs of executives involved, requests for meetings and telephone calls; communicatepotential and/or confirmed changes to involved parties immediately Schedule and coordinate complex, multi-step meetings and executive events, inform attendees of dates and time, reserve meeting space, ensure the appropriate equipment/materials are available, Develop relationships and collaborate with professionals across the firm to facilitate efficient and effective scheduling Contribute your talents and efforts to a productive, pleasant and safe working environment Assist and provide phone coverage for additional executives when necessaryREQUISITE KNOWLEDGE AND SKILLS Five plus years’ experience supporting high profile executives; college degree strongly preferred Excellent writing, editing, and verbal communication skills Advanced computer skills using Microsoft Office Suite: Word, Excel, PowerPoint and Outlook; able to quickly and accurately produce/edit Excel spreadsheets and PowerPoint presentations Highly developed planning and organizational skills; able to anticipate change Superior time management skills; critical thinker with strong attention to detailJob Type: Full-timePay: From $80,000.00 per yearBenefits:401(k)Dental insuranceHealth insurancePaid time offRetirement planSchedule:8 hour shiftSupplemental Pay:Bonus payAbility to commute/relocate:New York, NY: Reliably commute or planning to relocate before starting work (Preferred)Education:Bachelor’s (Preferred)Experience:Microsoft Powerpoint: 1 year (Preferred)Microsoft Excel: 1 year (Preferred)Work Location: One location
