Job Description : Job Title: Executive Assistant /Administrative AssistantLocation: South Jordan, UT Duration: 8+ Months Contract Hybrid RolePosition Summary: We are seeking an administrative assistant to help with the day to day management of the department at the South Jordan Utah site. This role will work closely with the management team in Utah, as well as coordinate with the Administrative Assistant and managers in our sister site in Columbus Ohio. This position will require someone who is well organized, can interact well with others, learns quickly, and will think pro-actively to anticipate and solve problems.Primary Responsibilities- Maintain calendars, schedule meetings, conference calls, and coordination of meetings- Coordinate conference rooms including audio/videoconference set-up- Provide overall assistance to staff- Coordinating meals/catering for department lunches/events- Facilitate work from home rotations, seating and equipment needs for staff- Help plan and execute culture building activities and events- Telephone coverage- Handle travel arrangements- Prepare and submit expense reports- Set-up and maintain mail groups- Order and maintain supplies- Mail distribution; arrange messenger and overnight services- Submit floor facilities request- Assist other assistants in department when needed- Ad hoc duties as necessary to support teamSkills Required- 2-3 years of directly related experience, preferably within financial services/wealth management- Strong interpersonal, analytical and organizational skills- Ability to work independently with minimal supervision- Ability to multi –task and adjust calendars based off escalation of issues that arise- Interact with Business Heads and their assistants with scheduling or connecting urgent calls- Ability to manage sensitive, complex, and confidential information- Strong knowledge of Microsoft Office (PowerPoint, Excel, Word) and administrative practices and procedures- Excellent communicationTop 3 Skills: – Strong Organizational Skills- Ability to be proactive- Excellent oral and written skillsProjectHealthContract length: 12 monthsJob Types: Full-time, ContractSalary: $22.00 – $26.00 per hourSchedule:8 hour shiftEducation:High school or equivalent (Preferred)Experience:Administrative Assistants & Receptionists: 1 year (Preferred)Customer service: 1 year (Preferred)Work Remotely:No
