Job Description : We are looking for an Office manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Office manager duties and responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees. Previous experience as a Front office manager or Office administrator would be an advantage. Sales experience also preferred. A successful Office manager should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Basic accounting/financial skills required. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.ResponsibilitiesServe as the point person for office manager duties including: maintenance, mailing, supplies, equipment, bills, errands, shoppingSchedule meetings and appointmentsOrganize the office layout and schedule for staffMaintain the office condition and arrange necessary repairsPartner with owners to update and maintain office policies as necessaryOrganize office operations and proceduresCoordinate with equipment companies to maintain training and suppliesEnsure that all items are invoiced and paid on timeManage contract and price negotiations with office vendors, service providers and office leaseManage office General and Administrative budget, ensure accurate and timely reportingProvide general support to visitorsAssist in the onboarding process for new hiresAddress employees queries regarding office management issues (time off, work flow, concerns, etc.)Liaise with facility management vendors, including cleaning, catering and security servicesHelp plan in-house or off-site activities, like parties, celebrations and conferencesMeet with marketers regarding specials, promotions, social media, events, new products or servicesSkillsProven experience as an Office manager, Front office manager or Administrative assistantKnowledge of office administrator responsibilities, systems and proceduresProficiency in EMS or similar computer softwareHands on experience with office machines (e.g. fax machines and printers)Familiarity with medical spa services and general medical terminologyExcellent time management skills and ability to multi-task and prioritize workAttention to detail and problem solving skillsExcellent written and verbal communication skillsStrong organizational and planning skills in a fast-paced environmentA creative mind with an ability to suggest improvementsHigh School degree; additional qualification as an Administrative assistant or Secretary will be a plusJob Types: Part-time, ContractPay: $26.00 – $32.00 per hourSchedule:8 hour shiftSupplemental Pay:Bonus payExperience:Management: 1 year (Required)Work Location: One location
