Job Description : POSITION SUMMARYThe National Association of Student Financial Aid Administrators (NASFAA) seeks a highly motivated, self-starter to join its team as an Administrative Assistant to provide basic administrative support for the national office and more specifically to the Director of Strategy, Planning, and Administration, President & CEO, and Executive Vice President.NASFAA WORK ENVIRONMENTNASFAA is a mobile-first organization, meaning that we cultivate a work environment that prioritizes and optimizes the flexibility for staff to work remotely most – or all – of the time without sacrificing our ability to fulfill the mission of the organization or the quality of our products or services. While this position can regularly work from home, this is a Washington, D.C. – based position. Candidates must have the ability to regularly travel to the NASFAA Headquarters based in Washington, D.C.ESSENTIAL DUTIESThe duties listed below are intended to describe the general nature and level of work being performed by this position. They are not intended to be an exhaustive list of all duties, responsibilities, and skills required of the Administrative Assistant.Perform basic administrative support for the NASFAA staff, including, but not limited to:Photocopying, scanning, faxing, mailing, and filing.Schedule and take detailed notes during staff meetings and other key meetings.Perform office management duties including, but not limited to:Serve as the primary contact for building, security, and HVAC needs.Maintains inventory of office supplies/anticipating office needs for task forces as needed (i.e., coffee, water, paper goods, etc.).Ensures the office, including the kitchen, copy room, and conference rooms are presentable, tidy, and in good working order.Screens incoming mail for the office and arranges mail and package deliveries.Signs for and distributes UPS/FedEx deliveries.Coordinate behind the scenes administrative support for the NASFAA Board and committees.Provide support to the Director of Strategy, Planning, and Administration, President & CEO, and Executive Vice President on scheduling internal and external meetings and planning staff team building events and retreats.Assist remote staff to assure productivity.Other responsibilities as necessary.QUALIFICATIONS/SKILLS & KNOWLEDGE REQUIREMENTS3 to 5 years of administrative office experience.Bachelor’s degree preferred.Excellent oral and written communications skills.Excellent time management and prioritization skills, with a strong attention to detail.Highly motivated, willing to take initiative.Ability to work in complex environments, both independently and as a member of a team.Strong project management experience and ability to meet deadlines.Strong desire to provide exceptional customer support.Proficiency with Microsoft Office products, including Word, Excel, and PowerPoint, and Google platforms, including Docs, Sheets and Slides, as well as scheduling appointments/calendars.Ability to prepare communications such as memos, emails, reports, and other correspondence.The successful candidate will:Understand and be comfortable working in a mission-driven organization where individual and departmental goals must align with strategic priorities.Have demonstrated their ability to work successfully in a team-based environment where “the whole” is more important than any one individual.Be comfortable with team-based accountability, departmental reporting and paying attention to results.
