Position : Administrative Professional II
Job Description : Acts as administrative support staff lead (i.e. develops and maintains positive communication with clerical team; assists supervisory team with providing support, training, cross training and work direction on routine processes and procedures to lower level administrative support staff; reviews, updates, coordinates and implements clerical processes to promote accuracy and consistency throughout the department; assists with creating front desk coverage schedules, etc.). Serves as primary administrative support for the intake and support services staff (e.g. processes referrals & mailings, updates databases, etc). Serves as support to 0-5 staff by providing basic assistance with MS Office software and Board database system. Develops and maintains accurate client information and records management systems for enrolled children ages 0-5. Receives and processes new referrals for the intake and transition of eligible EI and preschool age children in the allotted timelines. Scans documents into e-file and recommends data storage systems in line with retention requirements. Assists and makes recommendations to leadership for supporting program quality assurance and meeting accreditation requirements for electronically filed documents (i.e. reviews processes and databases regularly to recommend changes and update the system to support high degree of quality, efficiency and accuracy; instructs other departmental staff on proper procedures and monitors for accuracy). Relieves Director of routine administrative duties as assigned (e.g. tracks and controls budgetary costs for assigned area, screens problems and communicates issues, prepares billing documents and tracks revenues specific to the department, Medicaid and other governmental entitlements, provides explanation of services or activities of assigned area, answers routine questions from the public and connects them with appropriate EI staff for further assistance, etc.). Drafts program calendars, updates program manuals and notebooks. Updates website content as needed pertaining to age group 0-5. Ensures sufficient supplies available for departmental needs (e.g. inventories and orders program and building materials and supplies, reconciles orders to ensure accuracy of ordered items). Assists in responding to requests for information in order to demonstrate program services compliance (e.g. runs reports out of EI system, etc.).Minimum QualificationsHigh School Diploma or GED. 2 years’ experience in clerical support or secretarial position to include intermediate level experience using MS Office Suite or computer applications similar in naturePreferred QualificationsRelated associates degree, educational equivalent or certificate. Experience in office management or lead work in an office setting.TeleworkIn addition to periodic in-person meetings, this position requires remote work for the majority of work hours.
