Job Description : Title: EXECUTIVE ASSISTANT
POSITION SUMMARY
Executive Assistant position provides administrative support to the President and CEO and Executive Vice President. The Executive Assistant also serves as a liaison to the Board of Directors.

Located within Salt Lake City proper, the Zoo is nestled in the foothills of the Wasatch Mountain range at the mouth of Emigration Canyon. The Zoo spans over 42 acres and is home to a diverse collection of animals. REPORTING RELATIONSHIP
Reports directly to the President/CEO.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The essential functions include, but are not limited to the following:
Administrative support to the President/CEO and Executive Vice President, including preparing correspondence, receiving phone calls, tracking and coordinating schedules and calendars, making travel arrangements, preparing reimbursement requests, arranging conference calls and virtual meetings, processing mail, monitoring email and phone messages in the President/CEO’s absence, creating and maintaining files, and providing meeting support.
Administrative support to the Board of Directors including assisting in the preparation of Board meeting agendas and meeting materials, scheduling Board virtual and in-person meetings, attending Board meetings, preparing Board meeting minutes, updating Board manuals.
Manages and organizes the President/CEO’s phone calls, schedule, correspondence and files.
Must exercise discretion and maintain confidentiality.
Ability to work flexible hours, occasional weekends or evenings as needed.
Assist with select finance functions as assigned.
Other administrative duties as assigned by the President/CEO’s designee.
Education and Experience
A Bachelor’s Degree or equivalent level of experience.
Three to five years relative experience working as an administrative assistant, office manager, or similar position.
Knowledge, Skills, and Abilities
Required technical skills include the knowledge and ability of:
Thoroughness and attention to detail.
Skill in accurately and efficiently preparing documents and compiling data.
Strong organizational skills.
Strong written and verbal communication skills.
Knowledge of Microsoft Office Suite.
Ability to learn and use new software applications.
Required mathematical skills include working knowledge of:
Mathematical concepts and logic.
Performs basic mathematical formulas and calculations.
Must possess excellent communications skills and ability to:
Ability to establish and maintain effective working relationships.
Interpersonal conflict resolution methods.
Effectively promote organization and services offered.
Communicate effectively verbally and in writing with varied audiences that include staff, executives, Board members, donors, and guests.
Must have the ability to:
Follow written and verbal instructions.
Apply critical thinking techniques.
Analyze and solve problems.
Prioritize work.
Perform within deadlines.
Ability to stay focused despite interruptions.
Deal with stress caused by deadlines.
Work well in a team environment as well as independently.
Memory for details.
OTHER REQUIREMENTS FOR THIS POSITION
The incumbent must always demonstrate sound judgment, high integrity, and personal values consistent with the values of the Zoo.
Utah’s Hogle Zoo is a drug-free workplace. All employees are subject to random drug testing.
Provide a negative TB test prior to hire date and maintain TB testing through course of employment.
A Valid driver’s license required.
WORK ENVIRONMENT
The incumbent performs in a typical office setting with appropriate climate controls. Tasks require a variety of physical activities which do not generally involve muscular strain, but do require activities related to walking, standing, bending, stooping, sitting, reaching, talking, hearing and seeing. Common eye, hand, finger dexterity required to perform essential functions. Requires lifting of up to 30 lbs.
