Job Description : This is a full-time position based in Salt Lake City, Utah. This is not a remote role.
What You’ll Do:
The Travel Specialist is a vital role within the scheduling team, this position supports Field Staff Travel by working with our external travel vendor, providing travel support and budget information to Field Staff, and monitoring costs on all travel spending. Daily, the Travel Specialist reviews and assigns emails received in the shared Scheduling Team inbox, schedules travel days, and works with Field Staff to answer questions regarding travel. The Travel Specialist will be responsible for running reports, sending emails, and taking on any additional administrative projects that arise.
Additional responsibilities include:

Research and maintain field staff travel budget sheet
Enter travel budgets into proprietary systems
Complete expense reporting for all Field Staff plane tickets
Partner with our external travel vendor regarding field staff requests
Keep external travel agents up to date with changes in Backroads travel policy
Serve as the owner & expert on Field Staff resources pertaining to travel protocols and processes (such as instructional documents, travel budget forms, training materials, etc).
Provide general scheduling admin support to field staff and the scheduling team
Additional projects as assigned.

About You:
You are extremely organized, pro-active, and love to support your team. You enjoy finishing repetitive administrative tasks and will eagerly ask for more projects. You have an unwavering attention to detail and strong organizational skills. You also have a clear, kind, and professional style in both verbal and written communications.
What You’ll Need:

Very strong written and verbal communication skills.
Exceptional attention to detail, strong organizational skills, and rapid, accurate data entry ability.
Proficiency with MS Office, Excel, Outlook
Impeccable time management and prioritization skills
An ability to learn new systems quickly
Friendly, helpful and upbeat personality with a strong desire to support fellow colleagues.
Ability to work effectively as part of a team and be able to self-direct and work autonomously.
1 to 2 years of previous administrative experience in a high paced environment
Experience working in travel booking or booking travel

About the Team:
Scheduling is one of the most important departments regarding our Field Staff retention, longevity, and trip quality. The main function of the team is to organize the schedules of our Field Staff (or Trip Leaders) and the specific trip departures those Field Staff will work. The Scheduling team is a ten-person group of problem solvers who come from diverse work backgrounds – there are people on the team that were Field Staff, worked in the bike shop, in Business Operations, or had never worked for Backroads until stepping onto the scheduling team. The Scheduling Team enjoys jumping into the scheduling puzzle with a curious mind and hearty sense of humor.
